We're a dynamic entrepreneur-led portfolio of businesses in real estate, lending, e-commerce, and consulting. You’ll work directly with the CEO to streamline operations, optimize systems, and handle both high-level and routine tasks that keep our companies moving forward.
Key Responsibilities
Administrative Operations
Manage CEO’s calendar, schedule meetings, and coordinate availability
Check and triage daily
Take meeting minutes and follow up on action items
Prepare weekly plans, task updates, and document audit logs
Handle travel bookings, mileage logs, and calendar encoding
Open bank accounts, file paperwork, and handle document preparation
Finalize and distribute internal and client-facing reports
CRM & Contact Management
Sort, classify, and tag leads in GoHighLevel (GHL) or similar CRM
Maintain clean contact records and update pipeline stages
Build and refine automation flows with Zapier, Calendly, and GHL
Troubleshoot integration issues and coordinate with tech support if needed
Accounting & Finance Support
Prep tax documents and track reemployment and other regulatory filings
Handle basic bookkeeping tasks and coordinate with the CPA/bookkeeper
Monitor credit repair progress, credit card accounts, and score tracking
Marketing & Social Media Support
Post and schedule on social media platforms
Track analytics and assist with content distribution
Monitor competitors and internal brand accounts (e.g. Travis's profiles)
Coordinate with design/marketing teams for campaigns
Qualifications
2+ years experience in an EA, Ops Coordinator, or Project Assistant role
Fluent with CRM platforms (GoHighLevel preferred)
Comfortable with Zapier, Calendly, Slack, Gmail, Google Sheets/Docs
Understanding of real estate, finance, or lending is a huge plus
Excellent written and verbal communication
Detail-oriented with high follow-through
Highly organized and reliable with a get-it-done attitude
Bonus Points For
Experience managing small business back-office operations
Basic knowledge of QuickBooks or similar accounting software
Familiarity with credit repair, reemployment tax filings, or government portals
Prior experience supporting a busy entrepreneur or startup founder
