We're Hiring: Virtual Assistant for Real Estate Media Company (Part-Time ? Full-Time, Long-Term)

Hi there!

We’re Immo Pictures, a growing photo and video production company for real estate agents based in Germany. We’re looking for a reliable, organized, and proactive virtual assistant to support us long-term with administrative tasks, accounting, social media, lead generation – and more.

Key Responsibilities:

Admin & Accounting:

• Organize incoming and outgoing invoices
• Send reminders to clients
• Support monthly bookkeeping tasks
• Prepare VAT reports
• Follow up on open client tasks
• Request drone flight permissions (we’ll show you how)
• Create and manage new project entries

Reporting / Controlling:

• Assist with monthly reports and internal summaries

Social Media Management:

• Plan and create posts for Instagram and Facebook
• Post stories and interact with followers
• Use and create templates for efficient content creation

Lead Generation & CRM:

• Research real estate agents on Instagram, LinkedIn, and other platforms
• Engage with their content (likes, comments, DMs)
• Maintain and update our CRM
• Support outreach and acquisition processes

Coordination & Support Tasks (as needed):

• Send media files to editors or clients
• Perform quality checks on content before delivery
• Coordinate media delivery timelines
• Communicate with editors and clients

Additional tasks may be added over time depending on your skills, interests, and the needs of the business.

Qualifications:

• Good English communication skills
• Highly organized, structured, and detail-oriented
• Able to work independently and take initiative
• Experience in admin tasks, social media, or lead generation
• Skills or experience in bookkeeping/accounting (a strong plus)
• (Bonus) German language skills – helpful but not required

Working Hours & Schedule:

• Some tasks require availability during German business hours (CET)
• Many tasks can be completed on a flexible schedule
• Starts as part-time (approx. 3–6 hours/day)
• Can grow into full-time, depending on performance and company growth
• Weekend work is generally not required, but may occasionally be helpful in special situations if you're open to it
