Role Summary
As the Accounts Coordinator, you’ll own the financial operations at Thermosoft Australia. You’ll manage key financial processes, drive efficiency, and ensure that everything runs smoothly. Your role will ensure that we’re on track financially and that all stakeholders receive the support they need.

What You’ll Do

1. Accounts Receivable (AR)
- Mark payments as paid in Shopify and Pipedrive
- Monitor and follow up on outstanding payments
- Manage overdue partner payments and chase overdue payments as per process
- Process customer refunds through bank transfer and card, and ensure accuracy of calculations

2. Accounts Payable (AP)
- Set up and schedule recurring payments (wages, external vendors, etc.)
- Create and send one-time or ad hoc payments for invoices and services
- Track and manage tea ---------- mber expense payments
- Ensure proper documentation of payments and receipts

3. Customer and Warranty Invoices
- Create and track warranty invoices in Xero
- Notify bookkeeper once warranty claim credits are approved and applied to customer statements

4. Cashflow Management
-Oversee income distribution and apply "Profit First" methodology
- Ensure bank account balances are maintained and topped up as necessary

5. Employee Superannuation
- Process and approve employee superannuation payments (for Australian tea ---------- mbers as part of Australian employee regulations)

6. Financial Budgets and Reporting
- Create financial reports to support management with answering key strategic questions
- Review and update our budgets, and monitor and update management on comparison to budget and any gaps worth noting

Who You Are

Experienced – You’ve worked in accounting or finance, preferably with experience in Australian businesses
Detail-oriented – You catch errors others might miss and take pride in accuracy
Self-motivated – You manage your tasks independently, especially in a remote setting
Organized – You thrive in a busy environment and enjoy keeping things on track
Problem solver – You tackle challenges head-on, break them down, and find practical solutions
Strong communicator – You communicate clearly with your team and write excellent process documentation
Team player – You collaborate effectively, share knowledge, and contribute to the team’s goals

Skills You’ll Need

Excellent English communication – You’re comfortable in both written and verbal English
Attention to detail – You ensure every step is accurate, from payments to invoices
Proficiency with tools – You’ve used tools like Xero, Shopify, or Google Sheets
Organizational skills – You excel at juggling multiple tasks and staying organized
Collaboration – You work well with others to ensure smooth financial operations

Bonus Points

Experience with Australian companies – This is a huge plus, especially if you’ve worked with Australian financial processes
Financial reporting and analysis – You can dive deep into financial data, find gaps, and identify opportunities to improve profitability
Project management – Experience owning or managing financial or operational projects is valuable
Superannuation processing – Familiarity with Australian superannuation or payroll systems is a bonus
