About Me & Why I Need You
I’m the founder of a fast-growing romance audiobook subscription platform with a passionate fan base and a strong presence on TikTok, YouTube, and Instagram.
I spend most of the year traveling, and as the company grows, so does my to-do list — which is where you come in. I’m looking for an Executive Assistant to help keep both my work and personal life running smoothly.
But this isn’t just about managing my schedule; I’m looking for someone to become a true right hand — a “mini me” who can help run the business alongside me, think ahead, and spot what needs doing before I even say it.
My work and personal life are completely intertwined—I don’t have a strict "work mode" and "life mode." so I am looking for someone I vibe with and can trust completely. If you’re sharp, fast-moving and can roll with a bit of chaos, while also being the kind of person who loves efficiency but won’t say no to spontaneous adventures, this might be the right job for you.

Experience & Skills
- 5+ years as an Executive Assistant, including experience supporting founders or senior executives in high-growth or international environments
- Excellent English skills (C1 or C2 level)

- Super organised & PROACTIVE – You anticipate my needs before I even ask and take initiative
- Fast-paced & straight to the point. No fluff, no corporate nonsense.
- Problem solver – You don’t just bring me problems; you bring solutions (or better yet, spot issues before they happen and come with ready options)
- Work hard, play hard mindset. We grind, but we also have drinks, send
- Flexible with time zones – I travel a lot. While I don’t expect you to completely shift time zones, we’ll need some overlap
- Socially intelligent – You know how to communicate professionally yet casually, adapting to different situations
- Globally aware – You understand remote work, different time zones, and cultural nuances
- Startup mentality – “Move fast and break things.” You work iteratively, learn from mistakes, and improve quickly

Your Main Tasks Will Be:
- Project & Task Management: Keep track of ongoing projects, proactively manage priorities, and ensure nothing falls through the cracks. And make sure I don’t miss meetings (bad habit of mine).
- Travel & Scheduling: Handle flights, accommodations, visas, trip planning, calendar management, and personal appointments.
- Inbox & Communication: Draft
- Meetings & Research: Shadow calls, take notes, track follow-ups, and conduct research on companies, opportunities, and key contacts.
- Hiring & Onboarding: Assist with recruitment, onboarding, and setting up tea
- Personal Life Management: Learn my preferences, organize meal plans, track birthdays, and handle occasional in-person errands.
- Family & Home Tasks: Keep an eye on homeschooling tasks and coordinate family-related responsibilities.
- SOPs & Organization: Create and refine processes, structure my notes, and maintain an organized workflow.
- Expense Tracking & Bookkeeping: Categorize expenses, track invoices, and assist with basic bookkeeping.
