JOB OVERVIEW

Chief of Staff for a US-Based Venture Capital Fund

We’re seeking a highly organized, detail-driven Chief of Staff based in the Philippines to support the operations of a fast-paced U.S.-based investment fund. This is a high-trust, high-autonomy role focused on execution across portfolio operations, internal systems, communications, and event coordination.

You’ll work closely with fund leadership to bring structure, speed, and precision to a broad range of initiatives.

What You’ll Own
Portfolio & Founder Support
You’ll coordinate regular check-ins with portfolio companies, track key business updates, and synthesize insights into monthly summaries. You’ll also research resources and respond to operational asks from startup founders—ensuring they have the tools and intel to succeed.

Systems, Data & Financial Organization
You’ll maintain internal databases, investor contact lists, and shared spreadsheets. You’ll also be responsible for accurate QuickBooks entries and reconciliations, ensuring the fund’s backend stays clean and current.

Marketing & Communication Execution
You’ll manage regular newsletters, LinkedIn posts, event thank-yous, and updates using tools like Microsoft Word, Excel, and email marketing platforms. You’ll personalize outreach to key stakeholders and keep the fund visible and engaged with its broader network.

Event Coordination & Amplification
From LP gatherings to founder summits and speaking engagements, you’ll track logistics, confirm details, and ensure the fund’s events are smooth and well-publicized. You’ll also help capture content for reuse across communications.

Key Skills
Advanced proficiency in Microsoft Office (Excel, Word, Outlook)

Strong written communication and summarization skills

Experience managing administrative workflows and internal systems

Comfort handling financial data entry and reconciliation (QuickBooks a plus)

Ability to prioritize, follow through, and manage shifting deadlines

High attention to detail and a proactive, solutions-oriented mindset

Professional discretion and ability to handle sensitive information

Preferred Experience
Executive assistant, operations manager, or project coordinator in a business environment

Marketing, event planning, or customer success background

Previous remote experience working with international teams

Familiarity with CRM or marketing tools (e.g., HubSpot, Mailchimp, or similar)
