As a Virtual Assistant, you will play a critical role in the day-to-day operations of our franchise. You’ll assist with recruiting caregivers, managing schedules, and maintaining accurate financial records. This role requires a self-starter with strong communication skills and hands-on experience with QuickBooks and Axiscare software. Prior experience in the healthcare or homecare industry is highly preferred.
Key Responsibilities:
Recruiting Support:
Post job openings on relevant platforms (Indeed, myCNAjobs, etc.)
Screen resumes and conduct initial candidate outreach
Schedule interviews and follow up with applicants
Maintain a digital recruiting pipeline and update HR documentation
Assist with onboarding paperwork and credential tracking
Scheduling Coordination:
Manage and update caregiver and client schedules using Axiscare
Communicate shift changes or openings to caregivers in a timely manner
Troubleshoot schedule conflicts or last-minute cancellations
Coordinate with the care team to ensure all shifts are covered
Bookkeeping & Admin:
Manage daily financial entries using QuickBooks
Reconcile invoices, payments, and payroll reports
Prepare weekly/monthly financial reports for the owner
Assist with billing and tracking reimbursements
Support light administrative tasks such as
Qualifications:
Minimum 2 years of virtual assistant or administrative support experience
Proficiency with QuickBooks and Axiscare is required
Strong organizational and multitasking skills
Excellent written and verbal communication
Tech-savvy with proficiency in Google Workspace or Microsoft Office
Healthcare or homecare industry experience preferred
High attention to detail, discretion, and professionalism
