(DRPH LTD.) is a small, tight-knit mechanical contractor based in the Chase Shuswap region of British Columbia, Canada currently operating with a three-person team and preparing for growth. We specialize in HVAC and plumbing solutions for multi-unit residential developments and private clients, providing high-quality, efficient, and reliable systems for both new construction and retrofit projects.

We operate Monday to Friday and are now seeking a highly organized and proactive Business Operations Assistant to support daily operations, enhance efficiency, and help establish streamlined systems.
Responsibilities
Administrative & Scheduling Support
• Manage and schedule service appointments for clients, including reminders and follow-ups.
• Communicate with clients and team members to ensure schedules run smoothly and efficiently.
• Maintain and organize the personal and business calendar, adding appointments to Google Calendar.

Customer Support
• Answer phone calls (Monday–Friday, 9 AM–5 PM PST) and respond to customer inquiries via phone, email, or chat.
• Provide information on services, pricing, and availability.
• Ensure customer inquiries are handled professionally and promptly.


Email
& Document Management
• Organize and manage incoming and outgoing emails, applying labels and prioritizing urgent matters.
• Respond to basic inquiries and delegate tasks to the appropriate team members.
• Maintain and organize digital files, contracts, and customer records.
• Develop Standard Operating Procedures (SOPs) to improve efficiency and ensure consistency in processes.

Booking & Financial Management
• Schedule and coordinate technicians' appointments, ensuring efficient route planning.
• Prepare and send estimates via QuickBooks Online (QBO).
• Coordinate with the CFO to issue invoices, track payments, and follow up on overdue accounts.
• Assist with managing and organizing bill payments, ensuring accuracy and seamless coordination with the bookkeeper.
Lead Generation & Marketing Support
• Assist in generating leads through online research, social media outreach, and data entry.
• Help manage social media accounts and create content for marketing materials.
• Support email marketing campaigns and customer engagement strategies.

Reporting & Analysis
• Compile reports on service calls and customer satisfaction metrics.
• Provide insights and recommendations based on data analysis.

Qualifications
• Proven experience in administrative support, business operations, or a similar role.
• Exceptional organizational and time-management skills with keen attention to detail.
• Strong communication skills in English (both written and verbal).
• Proficiency in QuickBooks Online (QBO) for generating invoices, estimates, and managing financial transactions.
• Experience in calendar management and scheduling.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Self-motivated and reliable, with the ability to work independently with minimal supervision.
• Problem-solving mindset and adaptability to changing priorities.
• Experience in developing Standard Operating Procedures (SOPs) is a plus.
