Our company is a remote platform located in the United States. We provide mental health counseling services via video and telephone. The working hours for this position are Monday through Friday, 9 AM — 6 PM CST. We work with a broad demographic population that suffers from a wide range of mental illnesses. We are looking for someone with the following attributes and qualifications:

- Highly fluent in English.
- Energetic, compassionate, and strong interpersonal communication skills.
- Someone who has experience working abroad with US customers.
- A minimum of 3 years of experience in customer service is required.
- Strong verbal and written communication skills to handle client interactions and professional correspondence.
- Proficiency in using office software, including Microsoft Office Suite and scheduling tools.
- Strong organizational skills with attention to detail for managing appointments and office tasks.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- A high school diploma or equivalent is required.
- Strong problem-solving skills and the ability to manage last-minute changes efficiently.

Job duties include, but are not limited to:
- Greeting clients, visitors, and staff with a professional and courteous demeanor and managing all duties with efficiency.
- Handling incoming phone calls, taking messages, and routing calls to the appropriate person or department.
- Schedule and cancel client appointments and update client profiles as needed.
- Manage a multi-line phone system to answer and redirect calls promptly while maintaining professionalism.
- Charge client’s accounts as needed for late cancelations or no-shows.
- Report to the Administrative Assistant daily.
- Update Provider Availability Checklist and Provider Snapshot as needed.
- Ensure that Providers’ calendars are up to date.
- Routinely follow up with providers to assess client availability.
- Performing tasks such as filing, photocopying, faxing, and data entry.
- Providing support to other staff members with administrative tasks (as needed).
- Addressing customer inquiries and concerns.
- All other duties assigned.
