???? Core Responsibilities
????
Manage and triage inbox daily using a categorized system
Draft, proofread, and send templated replies
Highlight urgent threads and actionables in a daily summary for executive review
???? Calendar & Scheduling
Fully manage the executive calendar using Microsoft Outlook
Coordinate across time zones, manage buffers, prevent scheduling conflicts
???? Workflow & Task Support
Maintain and update a task management system using the Time Sector Method
Assist in creating the “Daily Priority Brief” each evening:
Top 2 must-do tasks
8 supporting tasks
1 central focus theme
Monitor recurring tasks and track next actions on key projects
???? SOPs & Project Coordination
Maintain clean documentation in Basecamp
Track project statuses, flag bottlenecks, and support follow-ups
Update and refine operating procedures over time
???? Weekly Executive Review
Prepare a 1-page weekly report summarizing:
Completed tasks & wins
Next steps for the upcoming week
Questions and insights for executive attention
???? Tools You’ll Use
Microsoft 365 Suite (Outlook, Word, Excel, OneNote, Teams)
Google Workspace (Docs, Calendar, Gmail – light use)
Possibly Todoist
Basecamp
Teams, Loom (for async communication)
? Requirements
2+ years experience as an Executive Assistant, supporting high-level executives or entrepreneurs
Strong proficiency in Microsoft Office tools, especially Outlook, Word, Excel, and OneNote
Excellent written and verbal English communication skills
Extremely organized, detail-oriented, and proactive
Comfortable working with partial overlap to U.S. time zones (at least 3–4 hours daily)
???? Bonus Skills (Not Required, But Great to Have)
Graphic Design: Ability to create or edit simple slide decks, social media visuals, PDFs, or branded templates using tools like Canva, PowerPoint, or Adobe Creative Suite
Experience with GTD, or the Time Sector productivity framework
Familiarity with workflow automation tools like Zapier or Microsoft Power Automate
