JOB OVERVIEW

Property Management Support:
Learn and manage CRM software Buildium

Tenant Communication – Respond to inquiries, rent reminders, and maintenance requests
Lease Application Processing – Screen tenants and verify application info
Rent Collection Follow-Up – Ensure timely payments
Maintenance Coordination – Schedule repairs and liaise with vendors
Lease Renewals – Prepare and send out renewal notices
Move-In/Move-Out Coordination – Assist with tenant transitions
Accounting Support – Handle utility payments; prepare end-of-month and quarterly reports
Post new rental listings and respond to inquiries.

Client & Lead Management:
Learn Follow Up Boss CRM system

Lead Qualification – Screen inbound buyer/seller leads
Follow-Up Communication – Call, email, and text prospective clients
Appointment Setting – Book tours, meetings, and follow-ups
Sending Drip Campaigns – Schedule nurturing email/text automations
Client Support – Answer FAQs and provide consistent communication

Administrative Tasks:


Email
Management – Sort, respond to, and flag key emails
Calendar Management – Schedule meetings, showings, and reminders
CRM + Data Entry – Maintain contacts, listings, and property details
Document Prep – Draft contracts, offers, lease agreements
Transaction Coordination – Track deadlines and required signatures
Market Research – Collect data on comps, pricing, and trends
Reporting – Prepare business summaries and financial tracking

Personal Assistant Tasks:

Errands & Appointment Coordination – Order supplies, gifts, and schedule appointments
Expense Tracking – Organize business receipts and maintain financial logs

You’re a Great Fit If You:

Have 1–3+ years of experience in real estate, property management, or admin support
Are comfortable with tech (especially CRMs, Google Suite, Canva, etc.)
Are detail-oriented, self-motivated, and a clear communicator
Enjoy juggling multiple priorities and can stay organized under pressure
Have experience with Buildium, Follow Up Boss, Canva, or MLS platforms (a big plus)
