We’re hiring a Virtual Assistant / Project Manager to help us scale a fast-growing content & ads agency.

Role: Virtual Assistant / Project Manager
Type: Full-Time, Remote
Timezone: U.S. CST hours (9 AM–5 PM preferred)
Start Date: ASAP
Agency Focus: Short-form content + ads that generate real results for clients
Tools We Use: Notion, Zapier, GHL (GoHighLevel), Slack, Google Drive, Calendly, Meta, TikTok

???? What You’ll Actually Be Doing

? Admin + Project Management (We have SOPs — just follow and improve them):
• Manage and organize our Notion workspace
• Assign and track tasks to keep the team on point
• Update project dashboards and send weekly progress updates
• Organize client files, links, and raw content submissions
• Manage tea ---------- etings, follow-ups, and check-ins

?? Automations + Systems (This is where you shine):
• Build/maintain automations in Zapier and/or GoHighLevel (GHL)
• Help us create smoother workflows between content, clients, and ads
• Troubleshoot bottlenecks and suggest better systems

???? Team + Client Comms:
• Keep communication flowing between clients and internal team
• Relay client feedback and make sure revisions don’t get lost
• Support the founder with updates and priorities

???? What We’re Looking For

You’ll thrive in this role if you’re:
• Super organized, self-motivated, and detail-obsessed
• Experienced with Notion, Zapier, and ideally GHL (or eager to learn)
• A strong communicator (written & verbal English)
• Someone who loves solving problems before they become problems
• Comfortable with short-form content and ad platforms (Meta, TikTok, YouTube)

? Requirements
• At least 1 year experience as a VA, Project Manager, or Ops Assistant
• Strong in Notion, Zapier, GHL (or similar CRMs / automation tools)
• Fast internet + distraction-free setup
• Availability during U.S. hours, with occasional weekend support
