I run a community for successful business owners in Medellín, Colombia, and need an experienced, detail-oriented bookkeeper from the Philippines to manage my QuickBooks, categorize transactions, prepare a custom Profit and Loss (PnL) report, and reconcile everything monthly and at year-end. This is a part-time role requiring 4-8 hours/month, including a 30-minute monthly review call, for a fixed rate of $150/month.
What My Business Does:
Memberships: Monthly/annual fees fro
Event Tickets: Revenue from events like dinners or masterminds (e.g., 30 tickets x $100 = $3,000).
Coaching Partnerships: Clients pay me, and I split it with coaches (e.g., $2,000 payment, I keep $600, coach gets $1,400).
Costs: Event expenses (e.g., $1,500 venue), coach payouts, and overhead like marketing ($500) or software ($300).
Your Responsibilities:
QuickBooks Management:
Categorize all income into 3 buckets: Memberships, Event Tickets, Coaching Partnerships (e.g., $2,000 from a client goes under Coaching Partnerships).
Split costs into:
Cost of Goods Sold (COGS): Partner Payouts (e.g., $1,400 to a coach), Event Costs (e.g., $1,500 venue).
Expenses: Marketing, Admin, Travel, Miscellaneous.
Ensure the PnL reflects true profit (e.g., $10,000 income - $2,900 COGS = $7,100 - $1,100 Expenses = $6,000 profit).
Reconcile all accounts monthly and at year-end for accurate records.
Transaction Tagging:
Process monthly bank and PayPal exports I’ll send (takes me 5 minutes to export).
Tag every transaction correctly based on my instructions (e.g., via text: “$1,000 to Coach Z, 70% split”).
Fix any misclassifications during our monthly call.
Spreadsheet for Uncertain Items:
Log ambiguous transactions in a simple spreadsheet (Date, Amount, Description, Notes—e.g., “March 5, $300, Payment from John—coaching or event?, Awaiting clarification”).
Send it to me before our monthly meeting.
Monthly Review Call:
Join a 30-minute Zoom call the first week of each month (e.g., April 1-7 for March).
Present the QuickBooks PnL (Income - COGS - Expenses = Profit).
Review the spreadsheet, resolve unclear items, and adjust QuickBooks as needed.
Year-End Reconciliation:
Ensure all transactions are categorized and reconciled by December for tax-ready books.
Provide a clean PnL and account summary for the full year.
What Success Looks Like:
By month-end, I get a PnL I can read in 10 seconds (e.g., $6,000 profit, not $10,000 with hidden costs).
Coaching payments (e.g., $2,000 in, $1,400 to coach) show as $600 profit under COGS, not jumbled elsewhere.
Event profits (e.g., $3,000 tickets - $1,500 costs = $1,500) are clear and accurate.
Year-end books are fully reconciled and organized.
Skills & Experience Required:
QuickBooks Expertise: Proven experience with QuickBooks Online (certification a plus), including custom PnL setup, COGS vs. Expenses, and reconciliation.
Bookkeeping Knowledge: Understand income categorization, cost allocation, and profit tracking for small businesses.
Year-End Reconciliation: Ability to close books annually with precision.
Communication: Fluent English for clear spreadsheet notes and our monthly call.
Attention to Detail: No guesswork—flag unclear items instead of misplacing them.
Compensation & Hours:
Fixed Rate: $150/month.
Estimated Hours: 4-8 hours/month (transaction tagging: 6-7 hours, spreadsheet/PnL prep: 1-2 hours, call: 0.5 hours).
Trial Period: 1-month trial at $150 to ensure a good fit.
