We are looking for a highly organized and proactive Administrative Assistant to join our team. This role requires strong attention to detail, problem-solving abilities, and excellent follow-through to ensure nothing falls through the cracks.

Job Summary:

The Administrative Assistant will be responsible for managing multiple tasks and projects simultaneously, providing support to leadership, coordinating schedules, following up on important action items, and ensuring smooth day-to-day operations. The ideal candidate is reliable, prompt, and able to anticipate needs while keeping everything on track.

Key Responsibilities:

Administrative & Office Support:
• Manage calendars, schedule meetings, and coordinate appointments.
• Handle correspondence, emails, and phone calls in a professional and timely manner.
• Maintain organized records, files, and documentation for easy retrieval.
• Prepare reports, presentations, and other documents as needed.
• Order and track office supplies to ensure the team has necessary resources.

Task & Project Management:
• Track deadlines and follow up on outstanding tasks to ensure completion.
• Assist with coordinating multiple projects, ensuring smooth execution and efficiency.
• Keep leadership and tea ---------- mbers informed on project updates and next steps.
• Identify potential issues before they arise and proactively implement solutions.

Follow-Up & Communication:
• Ensure all communications, inquiries, and requests are addressed promptly.
• Follow up on open items with vendors, clients, and tea ---------- mbers.
• Keep accurate records of conversations, agreements, and next steps.

Process Improvement & Problem-Solving:
• Identify inefficiencies in administrative processes and suggest improvements.
• Troubleshoot operational challenges and find effective solutions.
• Maintain an adaptable approach to shifting priorities and urgent tasks.

Qualifications & Skills:
• Previous experience in an administrative or project coordination role.
• Strong organizational skills with the ability to manage multiple priorities.
• Excellent follow-through to ensure tasks and deadlines are met.
• Reliable, prompt, and able to work independently with minimal supervision.
• Strong written and verbal communication skills.
• Problem-solving mindset with the ability to anticipate needs.
• Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
