Position Overview
We are seeking a skilled Remote Intake Scheduler to join our team and help manage the intake process for potential clients. This is a pivotal role where your professionalism, communication skills, and attention to detail will be instrumental in creating an efficient and welcoming experience for prospective clients. The ideal candidate will have experience in call center operations and familiarity with legal workflows, ensuring smooth coordination of client intake and appointments.
Key Responsibilities
Client Intake Coordination:
Serve as the first point of contact for prospective clients, handling inbound and outbound calls with sensitivity and professionalism.
Accurately collect and record client information during initial contact to set up their case evaluation process.
Scheduling:
Schedule appointments and consultation calls for attorneys and legal intake specialists.
Respond promptly to client inquiries and follow up as necessary to confirm appointments.
Ensure all appointments and commitments are reflected accurately in firm-wide calendars.
Collaborate with the intake team to prioritize urgent scheduling needs.
Data Management:
Process and document lead information securely in the firm’s case management system.
Verify client data and ensure compliance with confidentiality standards.
Technology Utilization:
Use call center software, appointment scheduling systems, and legal intake forms to streamline operations.
Assist in troubleshooting any technical issues related to scheduling tools and platforms.
Communication:
Deliver clear and empathetic communication when explaining the intake process to clients.
Liaise with attorneys and legal assistants to understand case scheduling priorities.
Qualifications
Required:
Minimum of 2 years of professional experience in a call center or customer service environment.
At least 1 year of experience in a legal office or law-related work setting.
Stable and fast internet connection, with decent equipment for working remotely
Preferred:
A licensed attorney or has a law degree in the Philippines
Experience using legal CRM or case management software (e.g., Lawmatics, Smokeball, etc.).
Familiarity with employment law areas such as workplace discrimination, wrongful termination, and retaliation claims.
Skills and Competencies
Professionalism in Communication: Ability to manage sensitive conversations with empathy, while remaining professional under pressure.
Organizational Skills: Strong ability to manage scheduling logistics and prioritize multiple client requests daily.
Tech Savvy: Proficient in using call center systems, scheduling tools, and legal database applications.
Attention to Detail: Precise record-keeping and documentation to maintain data integrity.
Team Collaboration: Ability to work effectively with intake staff, attorneys, and administrative professionals in a team-oriented environment.
Work Conditions
8 hours a day, Central or Eastern Standard Time, 9 AM to 6 PM
Fully remote, using your own equipment
