Blue Pebble is a boutique real estate and mortgage brokerage dedicated to making homeownership more affordable by lowering transaction costs and providing exceptional support to our agents and clients. We’re growing quickly and need a highly capable Virtual Executive Assistant to help our leadership team stay organized, efficient, and focused on driving the business forward.
Who You Are
You’re an experienced Executive Assistant (or similar administrative professional) who excels at managing details, coordinating vendors, and handling day-to-day operational tasks with minimal supervision. You have strong communication skills, the ability to prioritize multiple projects, and a problem-solving mindset.
Key Responsibilities:
Administrative Support: Manage
Task Coordination: Oversee day-to-day to-do lists, ensuring nothing falls through the cracks.
Vendor & Partner Coordination: Liaise with service providers for both personal and business-related needs (e.g., office contractors, marketing vendors, IT support, household services).
Project Assistance: Help track and follow up on key business and personal projects, ensuring timelines and deliverables are met.
Data & Document Management: Organize files, maintain records, and manage cloud-based documents (Google Drive, CRM, etc.).
Process Improvement: Identify ways to improve efficiency and proactively suggest solutions.
Qualifications:
Prior experience as an Executive Assistant, Virtual Assistant, or Operations Coordinator
Strong organizational and time-management skills
Excellent written and verbal communication
Tech-savvy – comfortable using Google Workspace, task management tools, and CRM systems
Ability to multitask and adapt to changing priorities
Self-starter with a high level of accountability
Bonus: Familiarity with the real estate, mortgage, or sales industries
