As we scale to $1,000,000+ in revenue this year, we are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO. This role is critical in ensuring smooth operations, maximizing productivity, and allowing the CEO to focus on high-level strategy and growth.
Job Summary
We are seeking a rockstar Executive Assistant who thrives in a fast-paced entrepreneurial environment. Your role will be to keep the CEO organized, handle administrative tasks, and streamline operations so the business runs efficiently.
This role is critical to the company’s success, and we are looking for someone ready to take ownership and grow with us long-term.
Key Responsibilities
- Calendar &
- Manage and optimize the CEO’s calendar (schedule meetings, calls, and events)
- Screen, organize, and respond to
- Set reminders and follow-ups for important tasks and deadlines
Client & Community Support
- Onboard new coaching clients with welcome
- Manage private community groups
- Respond to client inquiries and track student progress
Social Media & Marketing Assistance
- Schedule and post content on social media platforms
- Engage with followers by responding to comments/messages
- Manage and update the content calendar
Lead Generation & CRM Management
- Organize and update CRM with new leads and prospects
- Follow up with leads via
- Track sales pipeline and conversion rates
Travel & Event Coordination
- Book flights, hotels, and transportation for business trips
- Plan CEO’s travel schedule and itineraries
- Assist in organizing virtual/live events
Financial & Administrative Support
- Track expenses, log receipts, and send invoices
- Manage subscriptions and software tools used in the business
- Assist with payroll for contractors or team members
Ideal Candidate:
- Highly Organized & Detail-Oriented – You thrive in keeping things structured.
- Proactive & Problem-Solver – You anticipate needs before they arise.
- Excellent Communicator – You write and speak professionally and clearly.
- Tech-Savvy – Comfortable using tools like Google Suite, Slack, Trello, and CRM software.
- Trustworthy & Discreet – You handle sensitive information with confidentiality.
- Experience in Real Estate or Coaching Industry (Preferred but Not Required).
Requirements:
- 2+ years of experience as an Executive Assistant, Virtual Assistant, or Operations Manager
- Strong proficiency in
- Experience with project management tools (Asana, Trello, ClickUp, Notion, etc.)
- Ability to work independently and meet deadlines
- Excellent written and verbal communication skills
- Availability during normal business hours 9 am to 5:30 PM EST.
