JOB OVERVIEW

Job Description: Our company is searching for a part-time /gig contractor. This employee will be responsible for developing cross-application/software AI Agents to help us streamline and improve our outreach to small business owners in the United States. Our firm, River Capital, is an Atlanta, GA-based advisory firm that finds small businesses for our clients to acquire. We basically offer mergers and acquisitions B2B marketing and sales. Our clients are other investment firms purchasing companies in industries like landscaping, lawn care, tree services, collision centers, and more. Our company aims to contact as many small business owners as possible and in as many ways as possible. For example, if we have a valid email, cell phone number, and address for one business owner, we want to send them an email, voicemail drop their cell phone, text their phone, and send them a letter in the mail.

Your goal is to help improve our sales, data aggregation, data management, and outbound marketing systems. This position will work alongside me (the boss), my sales assistant, who runs our sales system, and our data entry/aggregator VA, who helps us clean up our datasets before uploading them to our CRM. My goal is to field inbound email responses and phone calls, and yours is to help us find new ways to improve our system to ensure that the leads keep coming.

This position will require a long-term commitment/availability. We are looking for a self-starter who loves AI-Tech Stacks, sales, Marketing, and business development. We have some fully fleshed-out ideas, but a big part of this job will be working with me to understand our current workflow, how our system works, and then helping our team implement new AI tools like automated sales reps, automated CRM (Salesforce) functions, and cross-technology workflows.

Below is an overview of our Marketing System:
Our omnichannel marketing system involves a large technology stack consisting of CRM, lead data sources, and multiple outbound outreach sources. However, the system can be broken down into three parts:
1. Data and Data Set Creation
a. Lead Acquisition
i. Downloading them from Zoom Info
ii. Scraping Lead from D7 Lead Finder, Lead Scrape, GMB Scraper
iii. Purchasing Data lists from third parties
b. Aggregating leads into one spreadsheet, moving them into the correct columns, labeling them correctly, and removing irrelevant leads
i.
c. Cleaning the leads
i. Removing Inc, LLC, Corp, DBA, LLP
ii. Removing Middle Initials from First Name Last Name Column
iii. Correcting Spelling of Company Names
iv. Correctly Reformatting Phone Numbers
v. Changing Mailing Address to conform to USPS mailing guidelines using Chat GPT
d. Email Verification
i. Verify the email addresses by using Neverbounce
ii. Use formulas in Excel (highlight cell rule) to label the bounce options correctly.
e. Cross Referencing the data with existing Salesforce data
i. The data we have acquired and cleaned may already be in our Salesforce. You will have to check for duplicate emails by downloading all the Salesforce contact data and account data and checking for overlap between existing data and Salesforce data. You will then fill in as much of the data as possible and make an educated decision on which data points to keep and how to merge them.
2. Segmenting & Uploading Data to CRM
a. Segmenting
i. Create additional columns to label the data for a specific search
1. We will work together to analyze how much available data there is and then assign particular search numbers to the grouping so we can batch the outbound campaigns correctly. We do not want to label them one label and then have to go back and choose how many we want to send to
ii. Create a new picklist value in Salesforce to label that option and match it to the column data you created in Salesforce
iii. Ensure all the data is labeled correctly and that none is missing a label
b. Uploading Data
i. Once you are finished cleaning and segmenting the data, you will run it by me for final approval.
ii. Once the data is approved, you will use the Data Import Wizard in Salesforce to upload the data and create new Accounts and Contacts
c. Report Creation
i. You will create custom reports in Salesforce for the specific searches we are doing and use their labeling options to break them out into different reports.
1. We have created an Excel spreadsheet that tracks which data with specific labels were part of searches.
a. You will update the search as we go
3. Campaign Creation / Launch
a. Once the data is cleaned, labeled, and uploaded to Salesforce, we will design and launch marketing campaigns.
i. The standard campaign we use for one subset of data includes three cold emails, two voicemail drops, and one letter mail sent. The breakdown in time is as follows:
1. Week 1: Cold Email 1
2. Week 2: Voicemail Drop 1
3. Week 3: Cold Email 2
4. Week 4: Voicemail Drop 2
5. Week 4: Cold Email 3
6. Week 6: Letter Mail 1
ii. We may consider adding a level(s) of cold texting campaigns as well to continue to work on the data set
b. Campaign overview

i. The campaigns will run across three different platforms:
1. Saleshandy- we use Saleshandy to send drip email campaigns to targets. The typical campaign runs over a four-week period where emails are sent on weeks one, three, and five. The campaigns are automated so that once the campaign is turned on, the data will be sent as outlined to recipients. Saleshandy tracks KPIs such as cold email delivery, open, response, and bounce rates
a. The campaigns are created by downloading the campaign-specific report from Salesforce in Excel format and then cleaning up the report. The reports need to be uploaded to Saleshandy in CSV format, and so they will be saved and edited according to Saleshandy’s required formatting guidelines
b. Once the lead lists are formatted, uploaded to Saleshandy, and ready to run, we will activate the campaign. From there, you will be required to monitor my emails and to perform the following tasks:
i. For emails that bounce, you will be responsible for marking these emails as soft or hard bounces in Salesforce, as well as the date when the email bounced
ii. For emails we receive automated replies for, you will be responsible for marking these emails as well in Salesforce
2. Voicemail Drop – we use Cowboy Drop to send voicemail drop campaigns to targets. The Campaigns are automated and must be created on a weekly basis. The Campaigns run once for Week 2 and Week 4.
a. The campaigns are created by downloading the campaign-specific report from Salesforce in Excel format and then cleaning up the report. The reports need to be uploaded to Drop Cowboy in CSV format so they can be saved and edited according to Drop Cowboys’ required formatting guidelines.
b. From there, you will be required to monitor my emails and to perform the following tasks:
i. Downloading Analytics reports from Drop Cowboy that note whether the voicemail drops succeeded or failed on a contact-by-contact basis.
ii. Uploading the data to Drop Cowboy with custom labels created to note which campaign the respective contacts were part of.
3. Stannp
a. We will create one-page letter mailers to send physical letters to the targets in our cold email campaigns that did not respond to our three emails and two voicemail drops.
i. Once the fourth leg of the sequence is complete, we will create a report and download all the contacts from the search that did not respond. We will then clean the data and upload it to Stannp, edit the letter, embed a landing page to a QR code, and send the letter mail to the recipients.
ii. We have not sent a letter of mail before, but it is an easy process to do.
Closing Note: Again, the purpose of hiring for this position is to continuously create outbound sales campaigns so that we can source new business acquisition opportunities for our clients. We are willing to invest further into additional tea ---------- mbers, but we will be a lean team starting.
