Sales ---------- Media Agency

We are Retain Media, a fully remote Australian digital media agency specialising in the automotive category, focusing on manufacturers and dealers. Our core industries include caravans, motorbikes, trucks, trailers, marine, and construction.
We are passionate about delivering exceptional results for our clients through data-driven strategies and innovative solutions. As we continue to grow, we’re looking for a reliable and detail-oriented Sales Coordinator to support our Business Development Managers and help drive our next growth stage.
The Role
Our sales reps sell our digital services (SEO, Google and META ads) to OEMs and dealers across Australia.

As a sales coordinator, you will support the sales team by handling admin tasks and coordinating activities so that the sales team can focus on selling.
To be successful, you should have strong attention to detail and organisational skills.
As a sales co-ordinator, you will work closely with the sales team, their clients and the delivery team

Day-to-day role:
• Working with the sales team - join sales meeting, note taking and admin
• Build proposals and help the reps prepare for their meetings
• Setting up tasks in ClickUp for the delivery team (on behalf of the sales team)
• updating the CRM with notes from client meetings, due dates etc.
• Managing workload (via Click Up) for the sales rep (i.e. each day highlight what is due/ overdue / coming up for the rep and ensure the rep takes the required action to make sure tasks are complete on time)
• Admin - creating and sending booking forms, updating the Google Sheets,
• Material chase – emailing clients to chase ad copy approval and ads from the clients for our campaigns.
• Responding (expectation setting) to inbound requests from clients and then assigning the work to the relevant tea ---------- mber.
• Project managing the work through. Identify roadblocks and either resolve or escalate the issue.
• Final QA of work before sending to client for approval. This will involve a lot of reviewing of ad copy, articles, graphics etc. Attention to detail is key.
• You will also be given 2-3 larger projects per quarter. This will typically be agency-focused rather than client-focused, such as investigating and embedding new products, systems or software.
• Liaising with clients/contractors/suppliers.


Who would be a great fit:

We are seeking someone ambitious and hungry to learn, ideally with 2+ years’ experience in a sales support role. Agency experience is considered favourable.

You should have an inquisitive mind and always be trying to improve yourself (and not afraid to test and try new things even if they fail). This is an attention to detail and problem solving role.

Ideally, you should tick a few or even all of the below:

• Proficiency with Pipedrive and click up or similar platforms, Google Workspace (Docs, Sheets, Gmail, Calendar)
• Excellent English communication skills, both written and verbal
• Strong organisational skills and exceptional attention to detail
• Ability to multitask, manage priorities, and work independently in a fast-paced environment
• Familiarity with digital marketing concepts (like SEO or paid media) is a bonus, but not required.
• Brand–aware: We must always be conscious of our clients' brand identity and ensure that what the agency produces delivers on that.

You don't have to tick all these boxes. We will train and develop you in the areas you need support.

You need to be comfortable managing competing projects at the same time and have strong organisational skills.
