About the Role

I’m looking for a highly organized, detail-oriented, and proactive Virtual Assistant to help manage a growing business. This role is perfect for someone who loves organization, prioritization, and streamlining processes while keeping everything running smoothly behind the scenes.

You’ll play a key role in email and task management, scheduling, and digital organization to ensure that nothing falls through the cracks. If you thrive on structure, efficiency, and problem-solving, this position is for you.

Responsibilities

Email
& Task Management
- Review and organize email inbox daily – prioritize important emails and categorize tasks
- Draft and summarize emails using ChatGPT for easy review (daily, sales, fulfillments, campaigns, etc.)
- Follow up on emails and inquiries in a timely manner
- Download and file documents from emails for easy access
- Responding to Customer emails

Project & Task Organization
- Upload and organize contacts into CRM or email marketing platforms
- Schedule and manage ClickUp tasks to keep projects on track

General Admin Support
- Organize files, spreadsheets, and internal documents
- Handle scheduling, calendar management, and reminders
- Data entry and maintaining updated records

- Proactive and resourceful – You anticipate needs and take action without waiting for instructions
- Strong communicator – Clear, professional written and spoken English
- Tech-savvy – Comfortable with email platforms, ClickUp, Google Workspace, and CRM systems
- Problem solver – You enjoy finding solutions and improving workflows
- Independent and reliable – You can manage tasks with minimal supervision

Bonus Skills (Not Required, But a Plus!)
- Experience with email marketing, automation tools, or CRM platforms
- Basic knowledge of customer service and online business operations
