JOB OVERVIEW

Job Overview:
We are seeking a highly organized and detail-oriented Mobilisation Officer to join our team. The primary responsibility of this role is to coordinate and manage the logistics of workforce mobilization, including travel arrangements, inductions, and ensuring that workers have completed all necessary pre-requisites and documentation before deployment. You will play a key role in ensuring that all personnel are prepared, compliant, and equipped to begin their work at the project site.

Key Responsibilities:
Travel and Logistics Coordination: Organize travel arrangements for workers, including flight bookings, accommodation, transport, and other travel-related needs to ensure timely arrivals at project sites.

Pre-Requisite Checks: Ensure all workers have completed the necessary pre-deployment requirements, such as medical checks, certifications, training, inductions, safety clearances, and documentation.

Inductions and Onboarding: Coordinate and manage the induction process for all workers, ensuring they receive relevant information about the project, health & safety protocols, and other essential details prior to arrival at the site.

Compliance and Documentation: Ensure that all mobilized personnel comply with company policies, industry regulations, and project-specific requirements. This includes checking the validity of required documents (e.g., passports, work permits, certifications).

Communication: Serve as the primary point of contact for workers regarding travel plans, site requirements, and any changes or updates regarding their mobilization.

Logistics Support: Provide support for any logistical needs related to the workers’ movements, including ensuring workers are equipped with necessary PPE, tools, and resources prior to departure.

Coordination with External Providers: Liaise with travel agencies, accommodation providers, and other service providers to ensure seamless mobilization and travel arrangements.

Tracking and Reporting: Keep track of all mobilized workers, ensuring their movements are documented, and report on the status of mobilization, including any potential delays or issues.

Health, Safety, and Welfare: Ensure all mobilization activities adhere to health and safety regulations, with a focus on the welfare of the workers during travel and deployment.

Problem Resolution: Address any issues or delays in the mobilization process, such as travel disruptions, missing documentation, or other complications, and provide timely resolutions.

Key Qualifications and Skills:
Education: A degree or diploma in Logistics, Human Resources, Business Administration, or a related field is desired.
Experience: Minimum of 1-2 years in a logistics, administration, or mobilization coordination role, preferably in industries such as construction, energy, or mining.

Skills:
Strong organizational and time management skills with a high attention to detail.
Excellent communication skills, both verbal and written.
Ability to work efficiently under pressure and handle multiple tasks.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Familiarity with travel booking systems and tools.
Knowledge of health and safety compliance standards related to workforce mobilization.
Certifications: [Relevant certifications if applicable, e.g., HSE certifications, logistics management certifications, etc.]
Personal Attributes:
Strong interpersonal skills with the ability to communicate effectively with workers and external providers.
