JOB OVERVIEW

MAIN RESPONSIBILITIES:

Payroll

• Prepares and provides monthly timekeeping reports to Compensation and Benefits Team
• On a monthly basis, reconciles employee activities in HRS with time records
• Ensures employee activity records are updated and accurate in HRS

Statutory Compliance

• Ensures updated and correct information for all employees’ records of different government agencies (SSS, PHIC, HDMF, BIR)
• Provides assistance to employees on matters relating to their membership and follow up claims from these different government agencies
• Notifies POEA of new and resigned employees (HFSP only)
• Publishes notification in newspaper of general circulation as part of POEA requirements for separated employees (HFSP employees only)
• Compiles updates for DOLE, SSS, PhilhHealth, Pagibig and BIR, and shares information on labor and employment-related issues

Company Assets

• Makes canvass and arranges with approved suppliers for procurement of company assets; prepares Purchase Order for approved suppliers quotation
• Maintains files for all Höegh employees in the Philippines for Employee Accountability of all company assets issued to each employee;
• Maintains files for all company assets as to location,

Organization Support

• In-charge of all Admin tasks for the 3rd Höegh company in the Philippines; collaborates with Administration Team Lead for all these tasks
• Assists and collaborates with Administration Team Lead during company-wide and employees’ activities;
• Collates monthly data and updates file for Environmental Aspects Review reports and submits to Administration Team Lead for review;
• Responsible on suppliers canvassing for goods/services other than office supplies e.g. giveaways; asset/s to be purchased; prepares Purchase Order for approved supplier/contractor
• Prepares and maintains inventory of all give-away items
• Prepares Minutes for bi- monthly HAROHQ Admin Meeting
• Performs other lawful functions as may be directed by his/her superior.


KEY QUALIFICATIONS:

Education and experience

• Bachelor’s Degree in any program, preferably, Psychology or HRDM
• With at least 2-3 years of relevant work experience


Skills

• Excellent written and spoken communication skills in an international environment
• Above average MS Excel skills
