JOB OVERVIEW

We’re seeking a highly organized, tech-savvy Administrative Assistant to support our team with client communication, marketing, transaction coordination, and day-to-day operations. The ideal candidate will thrive in a fast-paced environment, prioritize details, and leverage technology to drive efficiency.

Key Responsibilities:
1. Client Communication & Follow-Up
Manage email correspondence and ensure timely responses to client inquiries.

Track and follow up with leads, clients, and partners using personalized outreach.

Coordinate birthday/home anniversary acknowledgments to nurture client relationships.

2. Database & Transaction Management
Maintain and update client databases in Follow Up Boss (FUB) and Lofty.

Assist with transaction coordination via Broker mint (document preparation, deadlines, compliance).

Schedule showings, manage calendars, and coordinate appointments for agents.

3. Marketing & Listings Support
Design and distribute a monthly client newsletter (content creation and email marketing).

Create and schedule social media posts (Facebook, Instagram, LinkedIn) to promote listings and brand visibility.

Execute weekly listing marketing campaigns (e.g., flyers, digital ads, MLS updates).

4. Administrative & Analytical Tasks
Prepare Comparative Market Analyses (CMAs) and conduct weekly CMA drop-offs.

Use ClickUp to manage tasks, workflows, and team collaboration.

Implement automations to streamline repetitive tasks (e.g., email sequences, database updates).

5. General Operations
Track critical deadlines, birthdays, and home anniversaries.

Assist with ad-hoc projects and provide overall team support.

Qualifications:
Required:

2+ years of administrative experience (real estate, legal, or client-facing roles a plus).

Proficiency in Follow Up Boss (FUB), Lofty, ClickUp, and Brokermint (training provided for the right candidate).

Tech-savvy with strong skills in Microsoft Office/Google Workspace, email management, and social media platforms.

Excellent written/verbal communication and organizational skills.

Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.

Preferred (but not required):

Familiarity with real estate transactions, CMAs, or MLS systems.

Experience with automation tools (e.g., Zapier, Mailchimp).

Basic graphic design skills (Canva, Adobe Suite).
