JOB OVERVIEW

We’re a business growth agency that works with healthcare practices, helping them streamline their patient communications, sales pipeline, scheduling, and overall operations. We’re looking for a highly organized and proactive Virtual Assistant who will support our clients' day-to-day needs through the GoHighLevel platform (and related tools), ensuring world-class customer service, efficient data management, and a seamless patient experience.

Key Responsibilities:

Customer Service: Manage inbound and outbound communications (email, phone, chat) on behalf of healthcare practices, addressing patient inquiries, appointment scheduling, and basic service questions.
GoHighLevel Management: Set up pipelines, automations, and campaigns; oversee scheduling, payments, and patient communication within the platform.
Data Migration & Maintenance: Transfer and organize client data within GoHighLevel, ensuring accuracy and compliance with data privacy regulations.
Routine Administrative Tasks: Handle documentation, record-keeping, and other admin duties that support daily operations.
Collaboration & Reporting: Work closely with both internal teams and client contacts to relay updates, troubleshoot issues, and provide weekly reports on activities and results.

Qualifications & Skills:

GoHighLevel Proficiency: Strong hands-on experience with setting up and managing GoHighLevel campaigns, automations, and pipelines.
Customer Service Excellence: Prior experience in a customer-facing role with outstanding communication (English proficiency) and problem-solving skills.
Detail-Oriented & Organized: Ability to juggle multiple tasks, maintain accurate records, and follow processes consistently.
Tech-Savvy: Comfortable learning new tools, troubleshooting common tech issues, and following data privacy best practices.
Healthcare Industry Familiarity (Preferred): Any background in the healthcare field, patient communication, or medical admin is a plus.
