Shark Bite Fitness & Nutrition is a fitness business based in Cape Coral, Florida. We’re dedicated to improving lives through fitness, nutrition, and community. We’re seeking a highly organized and detail-oriented Virtual Assistant to support our operations remotely. If you love helping businesses run smoothly and thrive in a dynamic work environment, we’d love to hear from you! We are looking to employ someone for upwards of 2 years.
This role requires someone who is comfortable speaking with Americans over the phone, can clearly communicate in English, and excels at managing leads and appointments. Familiarity with Go High Level (GHL) is a must. We operate on the EST time zone and need someone available to work within the range of 8am–8pm EST.

Key Responsibilities:
Administrative Support
Manage
Maintain and update calendars for the leadership team and staff.
Create and manage Standard Operating Procedures (SOPs) and other documentation.
Handle data entry tasks, including updating member information and compiling reports from tools like PushPress and Go High Level.
Assist with payroll preparation by gathering necessary information from invoices and systems.
Social Media & Marketing
Respond to comments and messages on
Post daily stories and content across social media platforms.
Engage with community members online by commenting on posts and sharing updates.
Design basic graphics using Canva for promotions and announcements.
Research and post in local
Lead Management & Appointment Setting
Use Go High Level (GHL) to manage, nurture, and track leads.
Make outgoing calls to leads and respond to inquiries promptly.
Schedule appointments with potential clients, ensuring accurate details and follow-up communication.
Maintain a friendly, professional tone when speaking with leads to create a positive first impression.
Member Management
Support member onboarding by updating records, plans, and tags in systems like PushPress and Go High Level.
Track overdue invoices, process retail orders, and assist with member cancellations.
Coordinate tasks related to client retention, including sending reminders and milestone messages.
Operations Support
Manage supply and resale orders, including tracking inventory and placing restocks (e.g., drinks, snacks, supplies).
Update website content, such as blogs and program details.
Organize and schedule podcast recordings, upload videos, and distribute recordings to the team or clients.
Personal Assistant Tasks
Coordinate grocery orders, pet medication refills, and other personal errands for the leadership team.
Assist with booking flights and travel arrangements for events or vacations.
Handle online orders (e.g., Amazon) and purchase gifts as needed.
Qualifications:
Experience: 1+ year as a virtual assistant or in a similar role. Experience in lead management, customer service, or sales is a plus.
Skills:
Fluent in spoken and written English, with confidence speaking to American clients over the phone.
Proficiency in Go High Level (GHL) is required.
Strong organizational skills and attention to detail.
Familiarity with tools like Google Workspace, Canva, and social media platforms.
Technology: Must have reliable internet, a quality headset for phone calls, and a quiet workspace.
Personality: Proactive, detail-oriented, and comfortable multitasking in a dynamic environment.
