We work with startups, research institutions, and corporations to identify non-dilutive funding opportunities and develop competitive grant proposals.

Position Overview:

We are seeking a detail-oriented and highly organized Proposal Coordinator to join our consulting team. The Proposal Coordinator will play a critical role in ensuring the successful submission of grant proposals by reviewing guidelines, gathering required documentation, and assembling final packages. This position is ideal for someone who thrives in a fast-paced, deadline-driven environment and has exceptional organizational and communication skills.

Key Responsibilities:

Grant Guidelines Review:
Thoroughly review grant guidelines, requirements, and submission instructions to ensure compliance.
Communicate key deadlines, requirements, and priorities to the proposal team.
Document Coordination:
Identify and request all necessary documents, forms, and certifications required for submission.
Collaborate with internal team members and clients to collect and verify the accuracy of materials.
Final Package Assembly:
Compile and organize all components of the proposal, including narrative sections, budgets, and supporting documents.
Ensure all required documents are included, properly formatted, and meet submission specifications.
Quality Assurance:
Conduct a final review of the assembled package to confirm completeness and adherence to guidelines.
Address any discrepancies or missing items promptly.
Submission Management:
Manage the submission process, whether through online portals, email, or physical delivery, ensuring proposals are submitted on time.
Maintain records of submitted proposals for tracking and future reference.
Process Improvement:
Develop and maintain checklists, templates, and best practices to streamline the proposal preparation process.
Identify opportunities to enhance efficiency and accuracy in proposal coordination.

Qualifications:

Education & Experience:
Bachelor’s degree in Business, Communications, or a related field preferred.
2+ years of experience in grant coordination, project coordination, or administrative roles.
Skills:
Exceptional attention to detail and organizational skills.
Proficiency in Microsoft Office Suite and document management tools.
Strong communication skills, both written and verbal.
Familiarity with grant writing or nonprofit operations is a plus.
