Position: Real Estate Listing Manager |Transaction Specialist (Independent Contractor)
Job Description:
We're seeking experienced listing specialists specifically with a background in real estate listings to join our premier team. As a listing specialist with Premier TC Services, you'll provide top concierge-level service to our real estate agent clients and brokers in order for them to have more time to grow and scale their business while communicating frequently, effectively and efficiently. You must continuously endeavor to enhance processes and procedures and work with agents/clients and our transaction managers to customize and perfect how we provide service to each of our customer’s individual needs while providing a concierge level of service to everyone involved. Our listing specialists are responsible for managing and overseeing all the administrative tasks involved in processing a real estate listing from the time of signed listing agreement until going live in the MLS (except writing listing agreements.) It is crucial to ensure all work is completed with the utmost detail and accuracy all while being available during our customer's business hours. Meticulous documentation and recordkeeping is paramount. We require all communications and documents to be appropriately labeled and recorded in all company systems.
Listing specialists must take pride in everything they do and go above and beyond in all aspects of the job. This includes being an information resource for our agents, their sellers, and our transaction managers. Attention to detail is the key in this position and requires detailed knowledge of real estate listings and systems. Communication and ongoing collaboration with management is crucial to continued success and ensuring everyone involved can achieve their goals.
Key Responsibilities:
- Manage all aspects of real estate listings from the time of executed listing agreement to the listing going live in the MLS.
- Provide concierge-level service, going above and beyond for our clients and sellers
- Utilize our cutting-edge technology and systems to streamline processes
- Speak to sellers, agents, and vendors over the phone while guiding them through the entire listing process
- Delivering and responding to all written communications in a professional manner via
- Send introductory and informative
- Working through listing task lists and completing items on time
- Creating, organizing, and filing documents in multiple systems and platforms and other documents for completeness and accuracy. This includes uploading appropriate documents into the MLS.
- Ensure compliance with all relevant laws, rules, regulations, and guidelines
-Fully enter the listing in the MLS to include the following: Upload, organize, and label photos, draft the public remarks/property description, accurately enter all data, locate any missing information, configure showing instructions, obtaining any required disclosures and upload as attachments, etc.
-Verify all tax data and information
-Verify property ownership and seller identity
- Send calendar invitations and reminders for all important dates (such as photography appointment, listing go-live date, sign installation date, etc.)
- Reviewing all addenda, HOA/CONDO docs, etc. for completeness and accuracy
- Locate HOA/CONDO contact information and collect all governing docs and verify fees and restrictions
- Review listing for accuracy and obtain agent review and approval before going live
- Assisting in resolving issues that arise during the listing process
- Work closely with transaction managers and keep them updated of listing status
- Draft certain listing documents and obtain agent approval, and send out for signatures through e-sign software
- Ensure full brokerage compliance with documents and verify and collect any brokerage-specific disclosures
- Ensure detailed timeline notes of all tasks and checklist items must be documented in a very specific format within all company systems.
- Developing and enhancing systems and processes as needed
- Actively participate in meetings and company collaborations

Qualifications:
- Extensive experience in real estate listing coordination and entry
- Strong knowledge of real estate process
- Excellent communication and interpersonal skills
- High attention to detail and ability to manage multiple listings at a time
- Ability to identity and prioritize tasks
- Proficiency in relevant software and technology platforms
- Self-motivated with the ability to work independently
