JOB OVERVIEW

We are a growing accounting business dedicated to providing top-notch financial services, including bookkeeping, tax preparation, CPA advisory, and consulting for various industries. Our focus is on building strong client relationships through trust and excellent communication.

We are looking for a detail-oriented and proactive Virtual Assistant to support our daily operations and enhance our client experience.

Responsibilities:
Administrative Support:
- Take incoming calls from potential clients and scheduling them for a consultation
- Schedule and manage appointments and meetings.
- Organize and respond to emails promptly and professionally.
- Maintain client files and ensure data accuracy.
- Ability to create Standard Operating Procedures for performing tasks

Client Communication:
- Assist with onboarding new clients.
- Follow up with clients for missing documents or information (email and/or phone)
- Address basic client inquiries or escalate them as needed.

Accounting Support:
- Help prepare and organize documents for tax filings.
- Perform data entry tasks for bookkeeping purposes.
- Manage invoice generation and tracking.

Other Tasks:

- Conduct research as needed.
- Support with special projects or tasks assigned by the team.

Qualifications
• Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Ability to take and handle incoming calls professionally and efficiently.
• Proficiency with tools like Microsoft Office, Outlook, Microsoft Bookings, Onboarding software (Tax Dome) and project management software (e.g., ClickUp).
• Basic understanding of accounting and tax terminology (required).
• Tech-savvy with the ability to learn new tools and systems quickly.
• High level of discretion and professionalism when handling sensitive client information.

Hours:
10am-2pm EST

NOTE: Must have relevant experience or ability to learn quickly as this will be a role with work ready tasks to start right away!
