**Job Opportunity: Virtual Assistant (Philippines-based)**

We are seeking a highly organized and proactive Virtual Assistant based in the Philippines to support our growing team with a variety of administrative and operational tasks. This role is vital in ensuring the smooth daily functioning of our business. If you are detail-oriented, an excellent communicator, and adept at multitasking, we’d love to hear from you!

### **Key Responsibilities**
- Team Scheduling: Coordinate and manage the daily schedules of tea ---------- mbers.
- Documentation Management: Confirm receipt and review of daily team job documentation, filing them accurately into work software and associated jobs.
- Time Tracking: Verify daily start and finish times of tea ---------- mbers.
- Team Communication: Liaise with the team for required documentation via Microsoft Teams.
- Purchase Orders: Raise and confirm purchase orders for upcoming jobs.
- Data Management: Develop price list items in job management software from existing spreadsheets.
- Template Creation: Design templates and forms for onsite teams, including timesheets, job cards, variation forms, annual leave sheets, and pre-start work documents.
- Toolbox Development: Prepare weekly toolbox talks and related materials.
- Invoice Assistance: Prepare invoices for manager review.
- Email Management: Draft responses to emails and ensure timely communication.
- SOP Development: Draft standard operating procedures and safety documentation, integrating them into work platforms.
- Project Estimation: Helping develop take-offs and preliminary pricing for project tenders ( training available )

Qualifications:
- Proven experience as a virtual assistant or similar role.
- Proficiency in Microsoft Office Suite, especially Teams, Excel, and Word.
- Familiarity with job management software SIMPRO or the ability to quickly learn new systems.
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills in English.
- Ability to work independently while being a collaborative team player.
- Attention to detail and a commitment to delivering high-quality work.

Preferred Skills:
- Experience in developing templates, forms, and operational documents.
- Background in project management or familiarity with tender processes.
- Knowledge of invoicing and financial documentation.
