We are seeking a detail-oriented and tech-savvy Virtual Assistant to support our growing 4-unit Airbnb business. This remote part-time position requires someone who can handle multiple administrative tasks efficiently while maintaining excellent communication with guests and vendors.
Key Responsibilities
Financial Management & Bookkeeping
- Organize and categorize receipts from various sources (maintenance, supplies, utilities, etc.)
- Enter receipt data into our bookkeeping system with accuracy and attention to detail
- Take clear screenshots of receipts and maintain organized digital filing system
- Process and pay bills through online platforms
- Track expenses across multiple properties and categorize for tax purposes
Guest Communication & Customer Service
- Respond to guest inquiries promptly and professionally via Airbnb messaging,
- Handle pre-arrival information, check-in instructions, and post-stay follow-ups
- Resolve guest issues and complaints with empathy and efficiency
- Coordinate with cleaning staff and maintenance teams as needed
- Manage guest reviews and respond appropriately to feedback
Marketing & Social Media Management
- Design, execute, and manage automated
- Monitor
- Track marketing performance and provide regular reports
- Assist with content creation including property photos and descriptions
Administrative Support:
- Maintain organized digital files and documentation
- Coordinate schedules for cleaning, maintenance, and property inspections
- Monitor booking calendars and pricing across platforms
- Assist with vendor communication and coordination
- Generate reports on occupancy, revenue, and expenses
Required Qualifications:
Technical Skills
- Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Forms)
- Experience with Microsoft Office Suite (OneDrive, Word, Excel)
- Experience with bookkeeping software (QuickBooks, FreshBooks, or similar)

- Basic photo editing and screenshot capabilities
- Strong internet connection and reliable computer setup
Experience & Background
- Minimum 2 years of virtual assistant or administrative experience
- Previous experience with short-term rental or hospitality industry preferred
- Customer service experience with proven track record
- Bookkeeping or accounting background strongly preferred
- Social media management experience
- Demonstrated experience running

Work Schedule & Expectations
- Position Type: Part-time, remote
- Hours: 10-15 hours per week, flexible schedule
- Time Zone: Must be available 5pm PST - 2am PST
- Response Time: Guest inquiries must be addressed within 2 hours during business hours
- Weekend Availability: Some weekend work required for guest support
- Communication: Daily check-ins via Whatsapp/email and weekly video calls
Performance Expectations
- Maintain 95?curacy in bookkeeping entries
- Respond to guest messages within 2 hours during business hours
- Process bills and receipts within 24 hours of receipt
- Maintain consistent social media posting schedule
- Achieve guest satisfaction rating of 4.8+ stars
- Complete monthly financial reports by the 5th of each month
