Job Title: Executive Administrative Assistant
Overview: We are seeking a highly organized and proactive Executive Administrative Assistant to support our senior management executive. The successful candidate will be responsible for managing calendars, following up on tasks with various teams, maintaining progress charts, and managing periodic to-dos, among other administrative tasks. This role requires excellent time management skills, attention to detail, and the ability to handle confidential information.
Key Responsibilities:
• Calendar Management: Organize and prioritize daily schedules, appointments, and meetings to ensure optimal time management. Coordinate logistics for meetings, including venue, transportation, and necessary materials.
• Task Follow-Up: Monitor tasks assigned to different teams, ensuring timely execution and follow-up. Act as a liaison between senior management and staff to facilitate clear communication and efficient workflow.
• Progress Tracking: Maintain detailed progress charts for ongoing projects and tasks. Regularly update and archive completed tasks to keep records up-to-date and provide visibility into team achievements.
• To-Do List Management: Keep a running list of periodic tasks and key deadlines. Alert the executive proactively about upcoming commitments and responsibilities to ensure nothing is overlooked.
• Document Preparation and Management: Prepare, proofread, and edit documents and presentations. Manage electronic and physical filing systems to ensure information is organized and easily accessible.
• Communication: Handle incoming and outgoing communications, especially on chats. Filter information by importance and urgency to streamline executive decision-making.
• Hiring Support: Collate, Highlights and Summarize candidates who apply for positions with the company.
• Ad Hoc Projects: Take on additional projects and responsibilities as needed to support the executive team.
Qualifications:
• Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
• Excellent organization and time management skills.
• Strong verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling tools.
• Very strong numerical ability is a big plus.
• Knowledge of the backend process of Amazon seller is a plus.
• Ability to handle confidential information with discretion.
