As a small, remote team, we rely on systems that work flawlessly. This role is about building and maintaining those systems so our clients experience smooth, professional service, and our team operates like clockwork.
The Role
As a Client Operations Specialist, you’ll play a dual role:
- Own and execute key operational tasks like client onboarding, document management, and invoicing with flawless precision.
- Improve and optimize systems using tools like Airtable, Zapier, and other automations to make workflows faster, better, and more consistent.
- This is a perfect role for someone who thrives in detailed, disciplined work but also enjoys solving process challenges and seeing how systems connect.
What You’ll Own
1. Client Onboarding and Documentation:
- Organize and manage all client documents, ensuring accuracy and timeliness.
- Generate and prepare forms (PSLF, IDR, contracts) using Airtable automations, then manually review and send them.
- Follow up with clients to collect any missing documents or signatures.
2. System Management and Data Accuracy:
- Maintain Airtable records (our CRM + project manager) to ensure data is current, accurate, and complete.
- Cross-check call summaries, invoices, and file statuses against Google Calendar and other tools.
3. Process Optimization and Automation:
- Identify small bottlenecks and opportunities to improve workflows.
- Use tools like Airtable, Zapier, and Make to tweak and build flexible automations.
4. Invoicing and Payment Tracking:
- Monitor invoices, ensure timely follow-ups, and track overdue payments.
- Generate and share reports twice a month to keep tea
5. Operational Support:
- Prepare weekly and monthly reports that reflect team performance and progress.
- Work with Mariah and Roland to ensure handoffs and client workflows are seamless.

Compensation and Hours
Pay Rate: $6 to $8 USD per hour, based on experience.
Full-Time: 40 hours per week.
Start Date: January 2025
Hours: Monday to Friday, 6 AM to 2 PM EST (New York Time).
