Schedule:
Monday-Friday: 10:00 AM - 6:00 PM USA CT
Saturday: 10:00 AM - 1:00 PM USA CT

Overview:
We are looking for a proactive and detail-oriented Real Estate Assistant to provide vital administrative and operational support. This role involves managing communication, coordinating schedules, and handling essential tasks to ensure smooth operations within a fast-paced real estate environment.

Responsibilities:

Communication and Email Management
• Respond to emails promptly each morning and throughout the day as needed.
• Communicate with title companies and lenders by sending contracts and following up on pending tasks.

Scheduling and Coordination
• Schedule property showings through ShowingTime.
• Arrange and confirm open houses, coordinating agents as necessary.
• Add important contract dates and client milestones (birthdays and anniversaries) to calendars and CRM (Follow Up Boss).

Documentation and Preparation
• Prepare offers, contracts, and corresponding documentation.
• Draft and send template emails during various stages of the transaction, such as when under contract.
• Organize and print listing packets and binders for appointments.
• Prepare property analysis reports for listing presentations.

Marketing and Lead Management
• Manage Follow Up Boss (FUB) CRM, including inputting new leads daily and refining action plans.
• Assist with monthly farming preparation and the creation of marketing materials.
• Create and send newsletters and email campaigns using platforms like Mailchimp or FUB for open houses, new listings, and price reductions.
• Collaborate with social media team to promote new listings and open houses.

Research and Analysis
• Conduct online searches for requested information in real time.
• Organize and maintain mailing lists for targeted campaigns.
• Set up MLS searches based on client criteria.

Weekly and Monthly Tasks
• Check in with agents every Monday to discuss new listings and upcoming tasks.
• Assist with tweaking and optimizing FUB action plans using ChatGPT or similar tools.

Qualifications:
• Strong organizational and time-management skills.
• Excellent written and verbal communication abilities.
• Proficiency with CRM tools (e.g., Follow Up Boss) and marketing platforms (e.g., Mailchimp).
• Experience with MLS platforms and property analysis tools is preferred.
• Ability to multitask and adapt to changing priorities.
