JOB OVERVIEW

Job Description:
We are seeking a proactive and detail-oriented individual to join our team as an Administrative Assistant with CRM Responsibilities. In this role, you will be responsible for providing administrative support to our agents while managing client interactions and maintaining our CRM system. The ideal candidate should have strong communication skills, exceptional organizational abilities, and the capacity to manage multiple tasks efficiently.

Responsibilities:

Client Follow-Up and CRM Management:
Contact clients via phone, email, or mail to follow up on policy applications, renewals, and claims, and log interactions in the CRM system.
Maintain accurate and up-to-date client records in the CRM database, including contact information, policy details, and communication history.
Use the CRM system to schedule follow-up tasks, set reminders, and track client interactions to ensure timely and effective communication.
Provider Communication:
Liaise with insurance providers to obtain updates on client cases, claims processing, and policy status, and record relevant information in the CRM system.
Follow up with providers to ensure timely resolution of client issues and inquiries, and document outcomes in the CRM database.
Agent Support and Process Management:
Assist insurance agents with administrative tasks such as scheduling appointments, preparing documents, and managing paperwork, and update CRM records accordingly.
Monitor agents' workflows and processes within the CRM system to ensure compliance with company policies and procedures.
Administrative Tasks:
Maintain organized and up-to-date client files, ensuring all documentation is accurate and accessible, and enter relevant information into the CRM database.
Prepare reports, spreadsheets, and presentations using CRM data to support agency operations and decision-making processes.
Requirements:

Bachelor's degree preferred.
Previous experience in an administrative role, preferably in the insurance or financial services industry.
Strong communication skills, both written and verbal.
Exceptional organizational and time management abilities, with a keen attention to detail.
Proficiency in Microsoft Office suite (Word, Excel, Outlook, Power Point) and CRM software.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Customer service orientation with a focus on providing exceptional support to clients and agents.
Team player with a positive attitude and willingness to adapt to changing priorities.
