JOB OVERVIEW

Position Overview

We are seeking a dedicated full-time Virtual Assistant to support our growing mental health therapy practice. This position requires handling confidential medical information and serving as a key administrative professional for our practice.

Work Schedule & Location

Remote position (Philippines-based)
Monday-Friday, 8:00 AM - 5:00 PM Utah Time (MST/MDT)
Full-time (40 hours/week)
Initial probationary period of 2-4 weeks

Training & Onboarding

Comprehensive training provided during probationary period
Training covers all systems and tools (SimplePractice, QuickBooks, etc.)
HIPAA compliance and medical privacy training
Client communication protocols and standards
Billing and payment processing procedures
Regular feedback and support during training period
Performance evaluation at end of probationary period

Compensation & Benefits

Monthly Salary: PHP 24,000 (Negotiable)
13th Month Pay

Primary Responsibilities

Client Intake & Scheduling

Managing new client intake process from initial contact through scheduling
Helping clients select appropriate therapist based on needs
Facilitating completion of intake documentation
Managing ongoing client communications via phone, email, and text
Scheduling appointments for clinicians
Providing exceptional customer service
Must maintain HIPAA compliance in all communications


Practice Management

Processing payments and reconciling billing in SimplePractice
Maintaining QuickBooks records and categorization
Creating and documenting Standard Operating Procedures
Supporting clinical documentation processes
Managing practice tools and systems
Implementing process improvements
Supporting general business operations


Additional Responsibilities

Managing and developing Etsy store operations
Creating promotional materials using Canva
Supporting marketing initiatives
Other administrative duties as assigned



Required Skills & Qualifications

Excellent English communication skills (written and verbal)
Strong attention to detail and organizational abilities
Basic computer proficiency
Ability to maintain strict confidentiality
Self-motivated with proven initiative
Professional demeanor and excellent judgment
Strong organizational and time management skills

Preferred Experience

Healthcare administration
QuickBooks
Canva/Graphic design
Etsy/E-commerce
Medical scheduling software

Tools & Training

All necessary tools provided (SimplePractice, Google Workspace, OpenPhone, AI tools, QuickBooks)
Comprehensive training provided
HIPAA compliance training required

Legal Requirements

Must sign and comply with HIPAA confidentiality agreements
Must sign employment contract
Must maintain secure, private workspace
Must have reliable internet connection
