JOB OVERVIEW

We are seeking for the Appointment Setter and Customer Service Representative handles after-hours inquiries and scheduling. This role focuses on delivering exceptional customer service and supporting prospective and current clients seeking anti-aging and wellness treatments

This is a part-time position with 6PM to 10 PM EST, including crossover hours.


Job Responsibilities

1. Customer Service:
- Respond promptly to phone calls and email inquiries after office hours.
- Provide accurate information about the practice’s services and answer client questions with patience and professionalism.
- Address client concerns and escalate complex issues to the appropriate tea ---------- mber as needed.

2. Appointment Setting:
- Schedule appointments and consultations using the practice’s scheduling software.
- Confirm and follow up on appointments to ensure client attendance.
- Manage and update client records with accurate information.

3. Lead Management & Response:
- Respond to leads promptly (within 5 minutes) during after-hours (7 PM–12 AM EST).
- Make outbound calls, send texts, and emails to follow up with leads.
- Accurately record and manage lead details in the CRM (GoHighLevel).

4. System & Tool Management:
- Use the RingCentral digital phone system to manage calls.
- Maintain CRM databases, ensuring lead and appointment information is up-to-date.

5. Reporting & Optimization:
- Track lead response metrics and appointment conversion rates.
- Provide regular reports on customer interactions, lead management, and scheduling performance.
- Suggest improvements to processes and tools for better client engagement and efficiency.
- Feedback and suggestions to improve lead management processes.

Qualifications
- Experience in customer service, appointment setting, or a related role.
- Strong communication skills and the ability to engage professionally with clients.
- Proficiency in using CRM tools (GoHighLevel experience preferred) and scheduling software.
- Familiarity with digital phone systems like RingCentral.
- Ability to multitask, stay organized, and work efficiently in a remote environment.
- Strong problem-solving skills and attention to detail.
