This role is responsible for providing advanced tactical and strategic administrative support to upper-level executives within the organization, managing key records, compiling data for reports, preparing expense reports, tracking CRM, and handling executive presentations. The role takes ownership of excutive' calendars, schedules complex meetings, acts as a gatekeeper for communications, and manages all aspects of executive travel. The role handles sensitive information with discretion, prepares detailed meeting agendas, and acts as a primary point of contact for vendors. The role involves coordinating administrative work within and across departments. The role also handles some marketing tasks for executives' major projects.

Work Schedule: 10am to 6pm PST Time, 5 Days a Week, 2 Days off (1 Weekday off, 1 Weekend off)
Core Responsibilities:
- Maintain an organized, up-to-date calendar, reschedule as needed, and communicate changes proactively
- Coordinate meetings, RSVP to events, arrange business meals, and handle reservations while keeping the manager informed
- Manage personal scheduling for the manager and her superior, including appointments, reservations, and travel logistics
- Handle all aspects of reimbursements and invoicing
- Generate meeting minutes
- Help track marketing performance and gathering insights to refine strategies.
- Create and manage visual content (graphics, videos, infographics) in collaboration with Canva or tea

Qualifications::
Bachelor’s degree in Business Administration, Marketing, or a related field (preferred).
At least 2 years of executive assistant or administrative support experience in a fast-paced environment.
Proficient in Microsoft Office Suite, G Suite, and CRM platforms.
Experience with expense management software and Canva or similar tools.
Skilled in managing complex calendars, scheduling, and detailed meeting arrangements.
Strong organizational skills and ability to generate precise meeting minutes.
Excellent verbal and written communication skills with a professional demeanor.
Ability to conduct web research, compile insights, and identify new market opportunities.
Experience creating visual content (graphics, videos, infographics) and tracking marketing performance.
Familiarity with basic marketing strategies and data analysis.
High level of confidentiality in handling sensitive information.
Ability to prioritize tasks and adapt to changing requirements independently.
Experienced in managing travel logistics and itineraries.
Detail-oriented, proactive, and team-oriented.
Availability to work US hours: 10:00 AM – 6:00 PM (PST), 5 days a week.
