OVERVIEW:
My team is looking for
- A full-time Virtual Assistant for our eCommerce Operations with 1-2+ years of previous experience.
- The work involves managing day-to-day tasks with running the eCommerce business (handling customer communication, managing orders, supervising social media, and tracking logistics data).
- This role is meant to evolve into a managerial role to oversee other tea

WHAT KIND OF WORK DOES THE ROLE INVOLVE?
1. Customer Service
- Processing returns and exchanges.
- Responding to customer inquiries about orders via
- Inspecting order tracking information and updating customers.
2. Order Management
- Managing Etsy orders: Adding tracking information and updating the fulfillment team via Google Sheets.
- Interacting with the fulfillment team to track shipments and gather updates for orders across Shopify and Etsy
3.Supplier Communication
- Reaching out to suppliers via Alibaba/WeChat to order materials.
- Having the ability to translate English messages to Chinese (and vice versa) using AI tools like ChatGPT to streamline communication (you are NOT required to know Chinese/Mandarin)
4. Social Media Management
- Moderating comments on social media pages and advertisements
- Replying to questions on social media posts
- Communicating with customers and answering their questions via private messages
- Obtaining content from customers’ social media and resharing it across the business’ channels and website
4. Task and Workflow Management
- Using Basecamp to organize and manage daily tasks.
- Completing additional day-to-day tasks as assigned, with the workload increasing over time as you grow with the role.
5. Research Related Tasks
- Research around solving problems that come up with the business - from financial related obstacles (credit cards/bank related topics) to making a list of influencers on social media that we will want to partner with for marketing purposes.
6. Growth and Proactivity
- Stepping outside immediate responsibilities to learn more about the business
- Curiosity to learn more about the different functions of the business
WHAT SKILLS AND EXPERIENCE ARE REQUIRED FOR THE JOB?
- Strong written English (including robust grammar) is mandatory.
- 1-2+ years of experience in a professional role (eCommerce experience is a plus).
- An undergraduate degree is preferred but not mandatory
- Familiarity with social media, digital marketing and pop culture in the US and around the world.
- Skills in problem-solving and creativity.
- Being calm and professional when communicating with customers.
- A proactive and growth-oriented mindset.
- Ability to troubleshoot and resolve issues independently over time.
- Desire to improve efficiency and learn more about the business.
- Good with numbers/mathematics
WHAT KIND OF TOOLS ARE USED ON THE JOB?
Familiarity with (or willingness to learn):
Shopify, Etsy, Gmail, Google Drive (Google Docs, Google Sheets), WhatsApp, WeChat, Alibaba, Basecamp, and ChatGPT (+ other AI platforms we will introduce to you).
Training and guidance will be provided for tools and processes, including videos and in-depth guides about the business etc.

You have a strong work ethic - you make sure to get the job done to the best of your ability. You are not afraid to ask questions (there are no stupid questions) so that you can improve your understanding of the role. You pay close attention to detail, especially since you’ll be working with data and numbers (every number must be checked twice). You value growth and are eager to take on increasing responsibility. You understand that this role leads into a supervisory role, where you will be training others eventually and overseeing their work.
WHAT ARE THE WORKING HOURS?
This role operates on a flexible schedule with core working hours typically between 9:00 AM and 6:00 PM Philippine Standard Time. Occasional tasks may require some flexibility outside these hours.
Workload varies daily—some days may be busy, while others are lighter—allowing you to manage your schedule around deadlines. We focus on results rather than strict time monitoring, valuing trust and autonomy in how you structure your day to meet deliverables. While weekends are generally off, we ask that you remain reachable for urgent customer matters when needed.
WHAT IS THE COMPENSATION?
- The first month will be a trial month, salary will be $500 and you will be paid weekly as we get to know each other and you have a reliable stream of income.
- After a trial month, salary will be $700/month paid twice per month (on the 1st and the 15th).
- There will be salary increases over time as you gain more responsibilities and experience within the role.
- 13th month is included (if you work less than a year, then it will be prorated)
Additional Info About Payment: payment is in USD, and bank fees are on us. We do not cover exchange rate fees.
