JOB OVERVIEW

About Us:
We are a dynamic business focused on delivering custom signage, wraps, and branding solutions for businesses. We are seeking a highly motivated and detail-oriented Virtual Assistant to join our team and help us streamline our operations.

Key Responsibilities:
1. Email Management:
• Receive, respond to, and organize emails promptly.
• Filter and prioritize messages to ensure urgent matters are addressed.
2. Social Media Management:
• Manage and monitor social media accounts (Facebook, Instagram, etc.).
• Create and schedule posts, cross-post content across various platforms.
• Engage with followers and respond to comments/messages.
3. Scheduling and Coordination:
• Coordinate and schedule events, meetings, and calls using Google Calendar.
• Send reminders and ensure smooth communication for appointments.
4. Estimates and Invoicing:
• Prepare and send estimates and invoices accurately.
• Follow up on pending payments or quotes as needed.
5. Phone Calls: (Preferred but not mandatory)
• Handle inbound calls professionally.
• Make follow-up calls to clients or vendors as needed.

Requirements:
• Strong proficiency in written and spoken English.
• Previous experience in email management and social media coordination.
• Familiarity with Google Workspace (Gmail, Google Calendar, etc.).
• Attention to detail and excellent organizational skills.
• Ability to manage time effectively and meet deadlines.
• Reliable internet connection and a quiet workspace for handling calls (if applicable).

Preferred Skills:
• Experience with invoicing and estimate tools (e.g., QuickBooks, Wave, etc.).
• Social media graphic design experience (using Canva or similar tools).
• Confidence in handling phone calls with customers or partners.

Work Hours:
• Full availability during U.S. Eastern Standard Time (EST).
• Ability to overlap work hours with EST business operations is required.
