Key Responsibilities
Patient Communication
Manage incoming phone calls and text messages on Nextiva, answer voi
Respond promptly to patient inquiries and assist with appointment scheduling via PTeverywhere.
Coordinate with patients to ensure timely payments for co-pays, co-insurance, and fees for service.
Insurance and Billing Support
Verify insurance benefits and communicate coverage details to patients.
Submit insurance claims and follow up on the status of claims, including addressing denials or requests for additional documentation.
Transmit medical records and other supporting documents to insurance companies when necessary.
Track and follow up on outstanding invoices to ensure timely payment.
Administrative Support
Ensure accurate and organized documentation for billing and insurance processes, compliant with HIPAA regulations.
Assist with general office administration tasks, including updating patient records as necessary.
Social Media Management
Assist with managing social media content accounts on Instagram and
Collaborate with the physical therapist and clinical team to brainstorm and schedule social media content.
Engage with other social media accounts to optimize the algorithms in our favor.
Help post and schedule content for engagement and visibility, ensuring posts align with brand messaging.
(This is an additional responsibility and not required, but it will be a plus if you have experience in social media management.)
Weekly Reporting and Team Coordination
Provide weekly reports on KPIs (Key Performance Indicators) and OKRs (Objectives and Key Results) to track the clinic's performance.
Participate in weekly tea
Ensure alignment with team objectives and proactively manage any administrative roadblocks.
Qualifications
Required Skills and Experience
At least 1 year of experience in healthcare administration, virtual assistance, or a similar role.
Proficiency with tools like PTeverywhere, Nextiva, and Outlook (training provided if necessary).
Solid understanding of insurance claims and follow-up processes.
Experience in managing social media accounts for businesses (Instagram and
Strong organizational skills and attention to detail, with the ability to handle multiple tasks simultaneously.
Preferred Attributes
Previous experience creating and analyzing KPIs or OKRs.
Comfortable working in a healthcare or physical therapy setting.
Proactive, positive, and customer-focused attitude.
Familiarity with content creation tools for social media scheduling and posting (e.g., Buffer, Hootsuite, etc.).
