JOB OVERVIEW

We are looking for a detail-oriented Email Management Virtual Assistant to enhance communication and efficiently manage a voluminous email account in MS Outlook. This role requires initial organization to create a well-structured inbox, along with implementing a robust system for evaluating, responding to, and organizing emails—ensuring smooth operations for our real estate business.

Regular shift will be during U.S. daytime hours. from 9am to 6pm Monday to Friday Mountain Time.

The ideal candidate should have excellent written English skills, as they will be responsible for responding to emails. While templates will be provided for many responses, the assistant must be able to read the context of each email and understand how to edit the template as needed to ensure effective communication.

Key Responsibilities:

1. Email Organization: Sort and categorize emails to prioritize urgent messages and maintain a well-structured inbox.
- Categorization: Implement a systematic approach to categorize emails into designated folders (e.g., priority, follow-up, client communication, etc.) to streamline access and enhance workflow.
- Tagging and Labeling: Utilize tags or labels to highlight important emails and distinguish between different types of correspondence, such as inquiries, support tickets, and leads.
- Archiving: Maintain an organized archive of completed or resolved emails, ensuring easy retrieval for future reference.
- Daily Maintenance: Conduct daily reviews of the inbox to clear out spam, prioritize important messages, and ensure no critical updates are overlooked.
- Crafting Responses: Research and compose thoughtful replies that reflect the client’s tone and style, ensuring meaningful communication with clients and customers; Review the context of each email and know how to adjust the response templates as necessary
- Customer Support: Act as a point of contact for customer inquiries, providing timely responses and addressing questions or concerns.
- Lead Follow-Up: Identify potential leads within the inbox and maintain regular communication to nurture these opportunities.
- System Development: Proactively suggest effective email organization systems and best practices that can enhance efficiency and productivity, based on industry standards and proven methods


Qualifications:
- Strong written communication skills and attention to detail.
- Expertise in managing Outlook emails is a must
- Ability to work independently and manage time effectively.
- Familiarity with email management tools and best practices.
