We are a UK based progressive and fast growing e-commerce agency with multiple projects and clients right now.
As we scale, we need a dedicated Executive Assistant to join our team to assist our Founder in all administrative and management aspect of the business.
Job purpose: To enhance Founder’s effectiveness by providing information, management support; and representing the Founder to others.
Main responsibilities
• Act as the point of contact between the Director and internal employees/external clients
• Undertake the tasks of receiving calls, take messages and routing correspondence
• Handle requests and queries appropriately
• Maintain diary, arrange meetings and appointments and provide reminders
• Make bookings and travel arrangements
• Take dictation and minutes of important meetings. Assign tasks, set reminders and follow through on key actions.
• Undertake research, produce reports, presentations and briefs
• Develop and carry out an efficient documentation and filing system
• Manage the Founder’s email
Person specification
• Proven experience as an executive administrative assistant or in other secretarial position
• Experience of e-commerce sector desirable but not essential
• Full working knowledge of office management systems and procedures
• Excellent knowledge of Google Apps - Drive, Word, Spreadsheet, Hangouts, Mail, Calendar etc.
• Exemplary planning and time management skills
• Clear level verbal and written communications skills
• Discretion and confidentiality
• Ability to follow through on actions, with reminders and requests
• Excellent writing and language skills
• Excellent time management skills with ability to handle multiple streams of work
• Excellent interpersonal skills and ability to work as part of a team; confidence to take the lead and guide other team members where necessary

• Ability and willingness to utilise project management and time tracking software
