Job Title: Virtual Assistant (Marketing Agency)

About Us
We are a small, dynamic, boutique marketing agency, and we're looking for a highly organized and efficient Virtual Assistant to support the CEO with a variety of marketing tasks. You will be an integral part of our team, helping to streamline operations and ensure that content and client deliverables are handled smoothly and on time. This is a great opportunity for someone who is detail-oriented, tech-savvy, and loves staying organized.

Responsibilities

Content Repurposing: Use pre-written ChatGPT prompts (created by the CEO) to repurpose blog posts and existing content for LinkedIn.
Content Collaboration: Work with designers and Canva to create different types of LinkedIn content (e.g., graphics, quotes, snippets).
Podcast Production: Assist with podcast production using AI tools and automations, ensuring episodes are edited and distributed on time. Coordinate with video editors and notify guests of episode releases.
File Management: Maintain a clean, organized file system, ensuring that all assets, folders, and content are easy to find and manage.
Project Management Support: Assist the client fulfillment team with uploading content to CMS platforms, managing content lists, updating deliverables trackers, and maintaining content calendars.
Travel Coordination: Occasionally assist the CEO by scheduling flights and accommodation for business trips.
Qualifications

Proven experience as a Virtual Assistant or in a similar administrative role.
Excellent organizational and time-management skills.
Strong communication skills and ability to work remotely with a team.
Experience using AI tools (such as ChatGPT) for content repurposing.
Familiarity with Canva for creating or collaborating on social media content.
Basic project management skills, including handling deliverables trackers and content calendars.
Experience working with content management systems (CMS) is a plus.
Knowledge of podcast production workflows (coordinating editors, scheduling releases, etc.) is preferred but not required.
Ability to schedule travel, including flights and accommodations, as needed.
