Travel Agent Haven is a coaching company for travel agents, and we function as a virtual bridge between travelers and the travel industry.

We connect travelers with travel agents, which gives them opportunities to travel better - while helping travel agents grow their businesses and earn more.

We offer memberships, coaching, courses, and resources for travel advisors.

We also offer resources for travelers to help them travel smarter.


ABOUT THE ROLE

We’re looking for a supportive, encouraging, and hard-working virtual assistant to join our team.

The ideal candidate will be an experienced virtual assistant who's worked with other Etsy sellers, as you’ll be helping us build our Etsy shop from scratch.

It will also be helpful if you’re familiar with the world of travel blogging and travel agencies.

The vision for the person in this role is that they will work up to full-time hours - focusing solely on Etsy. However, you will be asked to be a team player and contribute to the team as needed.

Though we’re hiring for a part-time freelancer, we really want for the person we hire to be a part of our team - so we’re looking for someone who can get along with all kinds of personalities.

Our team of travel agents includes over 80 tea ---------- mbers, and we expect that number to grow to over 2,000 within the next couple of years.

The virtual assistant we hire will work an average of 3-5 hours of work per week at first, eventually growing to full-time.

Beginners and new virtual assistants are welcome to apply, though we will prioritize candidates with experience as an Etsy virtual assistant - and/or in the travel industry.

Our V.A. will be instrumental in helping us grow our own Etsy shop, and in helping the travel agents on our team do the same.


Responsibilities

Below are some of the responsibilities our Etsy Virtual Assistant is expected to assume in their position:

PRODUCT RESEARCH & IDEATION

• Conduct market research to identify new product ideas and trends
• Analyze competitor products and customer feedback to inspire new offerings
• Gather insights from Etsy data (e.g., popular search terms, trending items) to guide product concepts

DESIGN & CONTENT CREATION

• Create high-quality product visuals, including photos and videos, for listings
• Write detailed, engaging product descriptions that highlight benefits and features
• Design packaging, inserts, or other branded materials that accompany the product

PRODUCT LAUNCH PLANNING

• Develop a launch timeline with key milestones leading up to the product release
• Collaborate with marketing to create a promotional plan, including teasers and pre-launch content
• Coordinate with customer service to prepare for potential questions about the new product

PRODUCT OPTIMIZATION & IMPROVEMENTS

• Regularly review customer feedback to identify areas for product improvement
• Implement changes or updates to existing products based on user suggestions or trends
• Track and analyze product performance to adjust listings, pricing, or descriptions as needed

QUALITY CONTROL & ASSURANCE

• Inspect products before they are listed to ensure quality standards are met
• Establish guidelines for consistent quality in product production and fulfillment
• Address and resolve any product quality issues reported by customers


PRODUCT LISTING MANAGEMENT

• Create, optimize, and update product listings with accurate descriptions, tags, pricing, and high-quality images
• Research and implement relevant keywords to improve product visibility and search rankings
• Monitor and renew listings to maintain shop visibility and SEO performance

CUSTOMER SERVICE

• Respond to customer inquiries promptly and professionally
• Resolve order issues and handle refunds or exchanges when necessary
• Maintain positive relationships by ensuring customer satisfaction

SEO & OPTIMIZATION

• Conduct keyword research and apply findings to improve listing visibility
• Track listing performance and make data-driven adjustments to boost traffic
• Implement SEO best practices across product listings and shop page

INVENTORY MANAGEMENT

• Monitor stock levels and coordinate updates with the team
• Ensure timely renewal of listings to maintain product availability
• Organize and maintain accurate records of product quantities

ORDER PROCESSING
• Manage and track orders to ensure timely shipping and delivery
• Coordinate with tea ---------- mbers or suppliers to fulfill orders as needed
• Handle all aspects of order fulfillment to enhance customer experience

SHOP MAINTENANCE

• Update and maintain shop policies and FAQ section
• Ensure all product and shop information is accurate and up-to-date
• Keep shop aligned with Etsy’s guidelines and policies



Job Qualifications

On top of the skills needed to complete the tasks listed about, the ideal candidate will also have:

• Excellent time management
• Ability to manage a calendar and schedule appointments
• Proficiency with G Suite (including but not limited to Google Docs, Google Sheets, Google Slides, Gmail, and Google Forms)
• Excellent written and verbal communication skills
• Excellent organizational skills
• Native-level fluency in the English language
• Skilled in data entry
• The ability to prioritize tasks considering deadlines and importance
• High-speed internet connection
• Creativity
• Experience or knowledge in digital marketing with ecommerce
