JOB SUMMARY
We are seeking a skilled Remote Administrative Assistant with advanced proficiency in Microsoft Excel, particularly in creating complex formulas, utilizing macros, and performing integrations with other software. The ideal candidate has a background in production support, possesses excellent written and verbal communication skills, and has a keen eye for detail. This role will provide essential support to our operations team by managing and organizing files, generating reports, and handling essential documentation processes that keep our production workflows smooth and efficient.
KEY RESPONSIBILITIES
1. Excel Mastery: Develop and maintain complex Excel workbooks, templates, and reports for operational tasks. Use advanced formulas, macros, and pivot tables to streamline processes and enhance reporting capabilities.
2. Data Management: Compile, analyze, and manage data across various departments to support operational decisions. Ensure data accuracy and integrity in all documentation.
3. Integration Knowledge: Collaborate with other departments to integrate Excel with various software platforms (such as ERP or CRM systems) and automate workflows, improving overall operational efficiency.
4. Documentation Support: Maintain and organize all necessary documents, including production files, standard operating procedures (SOPs), and other operational documentation.
5. Process Improvement: Identify and implement ways to improve current Excel-based processes, leveraging automation and best practices in data management to support continuous improvements in operations.
6. Reporting: Generate regular and ad-hoc reports as needed by the operations team, ensuring timely delivery and accuracy.
7. Support Production Operations: Assist with any production-related documentation or file management, helping the team track milestones, productivity, and project timelines.

REQUIREMENTS
1. Advanced Excel Skills: Proficiency with advanced formulas, macros, and pivot tables. Demonstrated ability to automate tasks and create complex spreadsheet solutions.
2. Knowledge of Integration: Experience integrating Excel with other software platforms, preferably ERP or CRM systems.
3. Familiarity with Production Operations: Basic understanding of production workflows and documentation in an operations setting.
4. Organizational Skills: Strong organizational skills with high attention to detail and accuracy in all file management and documentation activities.
5. Communication Skills: Excellent written and verbal communication skills to effectively coordinate across departments and present data-driven insights clearly.
6. Problem-Solving Skills: Ability to proactively identify and resolve issues with data and documentation processes.
PREFERRED QUALIFICATIONS
1. Experience with VBA (Visual Basic for Applications) for Excel automation.
2. Familiarity with other productivity and project management tools (e.g., Asana, Trello).
3. Previous experience in a production or manufacturing environment.
