Position Title: Virtual Assistant - Real Estate Administration
Employment Type: Full-time, Remote

Position Overview:
We are seeking a highly organized Virtual Assistant with excellent English proficiency, both written and verbal, and a strong background in administrative support to assist our property development company. The ideal candidate will focus on lead generation, event coordination, and weekly updates on real estate opportunities. This role is essential to maintaining our outreach, enhancing our network, and helping us stay on top of local real estate opportunities in the Morton Bay Region, Townsville, and Darwin.
Key Responsibilities:
1. Lead Generation and Outreach Support
o Create and manage lead generation letters and communication targeting off-market properties in designated regions, ensuring high-quality, professional English.
o Coordinate follow-ups and maintain records of responses to outreach efforts.
2. Networking and Event Coordination
o Research, identify, and book local networking events for company leaders, ensuring all communication is clear, concise, and error-free.
o Track upcoming industry events, workshops, or conferences that align with company objectives.
3. Real Estate Agent and Contacts List Management
o Develop and maintain updated lists of local real estate agents, segmented by Morton Bay Region, Townsville, and Darwin, and ensure all written communication is in fluent, professional English.
o Serve as a primary contact for outreach with these agents, facilitating introductions, meetings, and potential collaborations.
4. Open House and Property Monitoring
o Create weekly lists of open houses and available properties in designated regions that meet specified criteria, ensuring accuracy and clarity in reporting.

o Draft and manage
o Keep all contact lists, documents, and templates organized and easily accessible for the team.
Key Performance Indicators (KPIs):
1. Lead Generation Accuracy and Responsiveness
o Complete 100 lead generation letters with 100?curacy, ensuring they align with branding guidelines and are written in fluent English.
o Track responses and follow-ups within 48 hours, prioritizing clear and professional communication.
2. Event Identification and Scheduling Efficiency
o Identify and schedule 4 networking events monthly, securing spots at least 95% of the time, with all details clearly communicated in English.
o Ensure all bookings are completed with relevant reminders set for the team.
3. Real Estate Agent and Networking List Quality
o Maintain 100% up-to-date lists of agents and networking contacts for Morton Bay, Townsville, and Darwin.
o Ensure lists are refreshed and expanded quarterly with new contacts, and communication is fluent and professional.
4. Weekly Property Reporting Accuracy
o Deliver weekly open house and property listings that meet criteria, ensuring 100?curacy in location and requirements.
o Provide complete and timely reports with clear summaries in English by end-of-business each week.
5. Task Completion and Organization
o Demonstrate excellent organization by keeping all digital files well-labelled and accessible.
o Respond to internal requests within 24 hours and complete assigned tasks with a 98% on-time delivery rate.
