ABOUT US
We don't mean to brag... but we’re an award-winning place to work!

Mi PA provides virtual PA and Reception services to companies of all sizes, but we're a lot more than just virtual assistants — over the last decade we've carved out a niche as the ultimate support service, providing a world-class service built on passion, trust, and intelligence.

A key part of our success is ensuring that tasks are carried out consistently and accurately, no matter who is responsible for them. To help us do this, we’re seeking a detail-oriented and proactive Process Coordinator with a talent for process creation.

If you’re skilled at learning tasks, breaking them down into clear, step-by-step instructions, and making complex procedures easy to follow, this role is for you!

THE ROLE
As our Process Coordinator, your primary mission will be to standardise processes and procedures across the company. You’ll work closely with our Executive Assistant and Operations teams, learning their tasks and creating detailed process documentation. This will ensure consistency, efficiency, and clarity in how tasks are performed, helping reduce confusion and improve productivity.

WHAT YOU'LL BE DOING
• Learn and document tasks from different departments, breaking them down into clear, easy-to-follow processes and procedures.
• Create standardised process templates that anyone in the company can follow to ensure task consistency.
• Regularly review and update existing procedures to maintain accuracy and relevance.
• Use Loom and other tools to create video tutorials or visual guides to accompany written instructions.
• Work with teams to identify areas where processes can be improved or streamlined.
• Assist in onboarding new staff by providing clear training materials based on your documented processes.

WHY YOU'LL LOVE WORKING HERE
• Flexible, supportive environment: We understand the importance of balance. This part-time role offers the flexibility to work around your schedule, with the ability to work fully remote.
• Career growth & development: As we grow, so will your role. We believe in fostering our employees' talents, offering ongoing training and opportunities for career development as our financial operations expand.
• A culture of collaboration: you’ll work alongside a team of passionate professionals, including our department managers, providing valuable insights that will shape the future of the business.

ESSENTIAL SKILLS & EXPERIENCE
• Proven experience in process creation, standardisation, or operational support.
• Excellent written and verbal communication skills, with the ability to make complex tasks simple and easy to understand.
• Strong attention to detail and organisational skills.
• Familiarity with some, of all, of the following software is advantageous: Asana, Harvest, CRM systems (Pipedrive, HubSpot), Loom, Outlook, Gmail, and Calendly.

• You have a knack for breaking down complex tasks and communicating them clearly, so even someone new to the task can get it right.
