The Virtual Client Relations Manager will play a vital role in supporting senior consultants by managing client follow-ups, collecting and organizing key finance documents, coordinating with internal and external stakeholders, and ensuring deals are settled efficiently. The ideal candidate will possess excellent communication skills, and strong organizational abilities, and thrive in a fast-paced virtual work environment.
Responsibilities:
Client Follow-Up & Relationship Management:
Act as the primary point of contact for clients, maintaining consistent communication through
- Provide regular follow-ups to ensure timely submission of required documents and information.
- Update clients on progress, answer queries, address concerns, and build strong, trust-based relationships.
Document Collection & Management
- Collect, review, and organise finance-related documents from clients (e.g., bank statements, identification, contracts).
- Ensure documents are accurate and submitted promptly to the appropriate teams, adhering to compliance standards.
- Maintain an organised, virtual document management system for easy retrieval and tracking.
Stakeholder Coordination
- Collaborate with internal teams (finance, sales consultants) to ensure smooth communication and progress in client applications.
- Coordinate with external stakeholders (e.g., solicitors, accountants) to ensure all legal documentation and compliance requirements are met.
System Management & Process Tra
- Manage and update client records accurately in Pipedrive and other CRM systems, ensuring data integrity.
- Track the status of client deals, document submissions, and follow-up tasks, ensuring deadlines are met.
Process Improvement
Identify and suggest ways to improve client relationship management processes, focusing on communication, document flow, and overall efficiency.
Desirable Qualifications and Skills Required:
Experience working in a remote capacity.
Familiarity with the Australian property investment landscape.
Basic understanding of finance-related documentation and compliance.
Proven ability to problem-solve and adapt to changes quickly.
