We are seeking a highly organized and detail-oriented Administrative and Accounting Specialist to support real estate operations. This role involves managing financial transactions, assisting with property-related accounting, and handling essential administrative tasks tied to real estate transactions. The ideal candidate will have solid accounting knowledge and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities:
- Manage real estate financial transactions, including tracking commissions, coordinating agent payments, and managing expenses.
- Prepare and process invoices for vendors, contractors, and cooperating agents on closed transactions.
- Reconcile bank accounts and track escrow deposits and disbursements.
- Assist with creating financial reports related to property transactions, such as closing statements, commission splits, and expense summaries.
- Support the preparation of monthly, quarterly, and annual financial reports specific to real estate operations.
- Assist with payroll processing and employee expense tracking.
- Perform administrative duties, including scheduling property showings, managing office supplies, and maintaining property files.
- Ensure compliance with real estate regulations and accounting standards.
- Coordinate and prepare documents for audits, tax filings, and broker compliance.
- Utilize QuickBooks (or similar software) to manage financial entries and track real estate-related expenses.
- Use Excel to create transaction summaries, sales reports, and financial forecasts.
- Maintain accurate transaction documentation for property closings and lease agreements.
- Assist with agent onboarding paperwork and file management.

Required Skills & Qualifications:
- Proven experience in accounting or real estate-related bookkeeping.
- Strong proficiency in Excel, QuickBooks, and Adobe software.
- Excellent attention to detail and accuracy in financial record-keeping.
- Strong organizational skills and ability to manage multiple tasks efficiently.
- Strong communication skills, both written and verbal.
- Ability to work independently in a remote environment and collaborate with real estate professionals.
- Familiarity with real estate transactions and commission management is highly preferred.

Preferred Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Experience in real estate office management or property accounting.
- Knowledge of state regulations regarding escrow accounts and commission payments.
