JOB OVERVIEW

Position Overview
We are seeking a highly skilled, motivated and detail-oriented Medical Expert Administration Assistant to join our rapidly expanding technology firm in the personal injury space in Australia. The ideal candidate will be responsible for providing essential administrative support to several Medical Experts using our practice management software, ensuring efficient communication and task prioritisation. This role requires someone who can work at a fast pace, make confident decisions, and manage their time effectively.

You will have exceptional verbal and written English communication skills, fluent at a CEFR Level C1 or C2 (IELTS score of 8 or higher) preferred, along with a strong reliable internet connection with a minimal download speed of 150mps and a quiet private workspace.

This is a virtual full-time role, working Monday-Friday 9am – 6pm, Australian EST, reporting to the Executive Manager, Medical Experts.

Key Responsibilities:
• Providing exceptionally dedicated administration support for specific Medical Experts, including
o Report dispatch through our practice management software platform
o Invoice creation and dispatch through our platform
o Managing bookings and rescheduling appointments as required
• Using our practice management platform and workflow tasks to provide efficient and timely administration support
• Inbound and Outbound telephone support

Qualifications and Requirements:
• Bachelor’s degree in Business Administration, Communications, or a related field preferred
• Language Proficiency: High level of English fluency, CEFR Level C1 or C2 (IELTS 8+ preferred).
• Technical Requirements: Reliable internet connection with a minimum download speed of 150 Mbps.
• Quiet and private workspace

Skills and Experience:
• Minimum of 3 years of experience as a personal or executive assistant would be favourable
• Strong decision-making abilities, excellent time management, and prioritization skills.
• Excellent skills in Microsoft Office Suite (Word, Excel, Outlook), and other relevant software
• Ability to work independently and manage multiple priorities simultaneously
