Job Summary:
As a Sample Management Specialist (VA sample clerk), you will play a crucial role in supporting our team by managing the sample inventory and providing administrative assistance. You will ensure that samples are efficiently processed, tracked, and documented while also handling various clerical tasks to keep the team running smoothly. This position is ideal for someone who is highly organized, has excellent attention to detail, and thrives in a fast-paced environment.
Key Responsibilities:
1. Sample Management:
Communicate with supplier on sample enquiry
Assist in coordinating the receipt and logging of incoming samples.
Maintain an organized and up-to-date inventory of samples, ensuring accurate records are kept.
Ensure proper documentation and labeling of samples to prevent loss.
Facilitate the preparation and dispatch of samples to tea
Coordinate with other departments to fulfill sample requests promptly.
2. Administrative Support:
-Maintain organized electronic filing systems, ensuring easy retrieval of documents.
-Prepare reports, presentations, and other documents as needed.
-Assist in organizing virtual team events, workshops, or client meetings.
3. Data Entry and Reporting:
-Input sample-related data into company databases and systems with a high degree of accuracy.
-Generate reports on sample usage, inventory levels, and other key metrics.
Qualifications:
1. Preferably fluent in spoken and written Mandarin.
2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
3. Strong organizational skills with attention to detail.
4. Ability to manage multiple tasks and prioritize effectively.
5. Excellent written and verbal communication skills.
6. Ability to work independently as well as part of a team.
7. Previous experience in a merchandising, administrative role or inventory management is preferred.
